Job Description:
Job Duck is seeking a reliable and detail-oriented Law Firm Intake Coordinator to support a disability law practice by managing client intake and early case communication. This role is central to ensuring potential and existing clients receive timely responses, accurate information, and a professional first impression of the firm. The Law Firm Intake Coordinator will handle a steady volume of inbound and outbound calls, complete live intake within the CRM, and manage follow-ups based on each client’s situation. Success in this role requires comfort with phone-based work, strong organization skills, and a high level of discretion when handling sensitive legal information. This position is ideal for someone who enjoys structured workflows, clear expectations, and making a meaningful impact on the client experience.
Responsibilities include, but are not limited to:
Maintain accurate records and documentation in the case management system
Provide timely updates to clients regarding their case progress
Vet and qualify callers based on intake criteria
Complete live intake forms in Clio while speaking with callers
Handle inbound and outbound phone calls from potential and existing clients
Ensure all interactions comply with confidentiality requirements
Follow up with clients using preset email workflows based on case status
Manage and update the CRM pipeline accurately

Legal intake experience or comparable case management exposure
Strong verbal communication skills with confidence on phone calls
High level of confidentiality and discretion
Excellent attention to detail and accuracy
Ability to manage multiple follow-ups while maintaining organization
Consistent and reliable work habits

Professional written communication for client updates

Schedule from 9:00 a.m. to 5:30 p.m. EST
