Your role at VBA:

As an ABA Scheduling Assistant, you will support our Scheduling team in creating and coordinating weekly schedules for our therapists and clients, matching them together based on location and therapy needs. You'll take the lead in communicating cancellations and rescheduled appointments to staff and clients via phone and text, as well as pulling reports and completing special projects as needed for our Scheduling Manager. If you have strong customer service skills and enjoy ‘putting the pieces of the puzzle together’, you’ll thrive in this role.

You’ll make an impact by:

  • Providing schedule updates with families and staff as needed via phone, text and/or email
  • Ensuring clients are scheduled with the appropriate therapist and at the correct location, based on both parties’ weekly availability and staffing needs
  • Entering client and staff availability within our scheduling software platform, modifying and updating schedules as necessary
  • Tracking and reporting on critical department and organizational metrics
  • Completing special projects and other duties as assigned
  • And most importantly, you’ll play an essential role in helping kids with autism receive life-changing therapy services.

Requirements:

  • Excellent interpersonal, customer service, written, and verbal communication skills
  • Scheduling experience is highly desired, but not required!
  • Detail-oriented, with exceptional organizational skills and ability to juggle multiple responsibilities and deliver accurate results while consistently meeting deadlines.
  • Proficiency in Google Suite, and easily able to learn new software systems
  • Availability to work an 8-hour time period between our business hours: 700am - 5:00pm PST
  • Proof of COVID-19 Vaccination is required
  • Spanish speaking is a plus
