This is a remote job opportunity:
We are looking for a reliable, highly organized Event Marketing Coordinator to support our event marketing team.
This is a task-execution and coordination role. The ideal candidate is detail-oriented, proactive, process-driven, and comfortable keeping multiple moving pieces organized. You should enjoy following checklists, communicating updates, tracking deadlines, and making sure nothing falls through the cracks.
You will report directly to the Senior Manager, B2B Event Marketing and will serve as the operational support for trade shows, conferences, corporate events, and other event-related initiatives. Your main focus will be vendor coordination, logistics, internal communication, event tracking, and administrative support.
Key Responsibilities
Internal Communication & Team Coordination
Create, manage, and update event-related Slack channels
Keep attending teams informed with proactive updates at least 3 times per week
Share event details such as brand information, agenda changes, conference updates, competitor activity, and reminders
Schedule calendar holds for events, preparation calls, and post-event meetings
Follow up with team members on outstanding tasks and deadlines
Communicate important updates, including speaker changes, sponsorship updates, and logistics changes Vendor & Logistics Coordination
Act as the day-to-day contact for vendors
Follow up on orders, timelines, shipments, and deliverables
Escalate issues to the manager when needed
Coordinate SWAG orders, printed materials, and shipping logistics
Process vendor contracts, purchase orders, and invoices
Track expenses against event budgets
Communicate with venues and event organizers regarding booth requirements, sponsorship details, shipments, and event logistics
Maintain a clear tracker of vendor tasks, deadlines, and pending items Event Administration
Maintain event planning spreadsheets, checklists, and trackers
Pull attendee and exhibitor lists from event websites and update planning documents
Organize event assets, documents, and reports in the correct SharePoint folders
Register attending team members for events
Manage ticket confirmations and registration details
Prepare lead and MQL documents for Salesforce upload after each event
Keep ROI and MQL tracking updated weekly On-Site Support, When Applicable
Assist with event setup, registration, signage, and attendee support
Restock materials and distribute SWAG
Take photos and help keep the event space organized
Serve as a dependable on-site contact for the attending team What We’re Looking For
Must-Haves
1 to 3 years of experience in an administrative, coordinator, executive assistant, or similar support role
Strong attention to detail
Excellent written communication skills
Comfortable communicating through Slack, email, and calendar tools
Highly organized and able to manage multiple tasks and deadlines
Proficiency with Microsoft Office, especially Excel, Outlook, and Word
Experience using SharePoint
Ability to work independently and follow processes without constant direction Nice to Have
Experience supporting events, marketing teams, or sales teams
Experience with U.S.-based events
Familiarity with Salesforce or another CRM

You will have successfully:
Taken ownership of event communication, including Slack updates, calendar holds, and reminders
Supported vendor and logistics coordination for at least one event from start to finish
Kept planning spreadsheets, checklists, and SharePoint folders accurate and up to date
Prepared and uploaded MQLs into Salesforce following the correct process
Built trust with the manager by staying ahead of tasks and deadlines Long-Term Success
The goal is simple: the manager should feel confident that the administrative and logistics side of every event is fully handled.
You will be the person making sure tasks are completed, updates are shared, documents are organized, and event operations stay on track.
