JOB OVERVIEW

The Events Planner II is responsible for the end-to-end planning, management, and execution of corporate events, including the company's participation in in-person and virtual industry events, tradeshows, and the production of high-impact internal and external events such as Net Health’s President's Club, National Sales and Marketing meeting, and Net Health's annual client conference, NEXT. This role serves as a strategic partner to the Demand Generation and Revenue teams, ensuring the success of events that drive key business outcomes, such as marketing-qualified leads (MQLs), sales pipeline growth, and organizational alignment. The Events Planner II will also play a key role in supporting event communications by assisting Demand Generation Managers with approved email and landing page promotional copy for events.

RESPONSIBILITIES AND DUTIES

  • Plan, execute, and optimize a diverse portfolio of anywhere from 38-75+ events annually, including tradeshows, industry networking events, special client events, corporate events, and key internal events such as the organization’s President's Club, National Sales and Marketing Meeting, and the NEXT client conference.
  • Lead the strategic planning and execution of event roadmaps, working closely with marketing, sales, senior leadership, and external partners to ensure alignment with company goals and objectives.
  • Oversee all event performance metrics, including budget vs. actual costs, return on investment (ROI), attendee engagement, lead generation, and employee experience.
  • Own the end-to-end delivery of major tradeshows and internal events, including strategy, booth logistics, content development, sales enablement, and marketing plans, holding key team members accountable to deliver and meet stringent deadlines.
  • Assist Demand Generation Managers with the creation of approved email and landing page promotional copy to support event communications, ensuring consistency and alignment with overall marketing strategies and event themes, where applicable.
  • Collaborate across departments to communicate event strategies, goals, and deliverables to key stakeholders, ensuring smooth execution and post-event follow-up.
  • Provide onsite support and troubleshooting at external events and major internal events to ensure smooth operations and attendee satisfaction.
  • Manage all aspects of event logistics, including:
  • Developing and maintaining detailed event and conference budgets, identifying cost savings and efficiencies.
  • Executing contracts and negotiating favorable terms with vendors, hotels, and other partners.
  • Creating and managing comprehensive project plans, including timelines, agendas, hotel specs, staff assignments, and production details.
  • Leading vendor RFP processes, comparing bids, and maintaining vendor relationships.
  • Executing sponsorship and partnership deliverables, including speaker management and content coordination for external and internal events like NEXT.
  • Overseeing tradeshow booth design, setup, and onsite delivery, as well as partnering closely with our Creative team on event branding and collateral for internal events.

QUALIFICATIONS

  • Bachelor’s Degree or 3+ years of experience in corporate event production, including large-scale internal and external event planning.
  • 2+ years of experience in managing event budgets and financial reporting.
  • Demonstrated expertise in managing high-profile, high visibility events such as corporate conferences (e.g., NEXT), internal leadership events (e.g., National Sales and Marketing Meeting), and incentive programs (e.g., President's Club).
  • Experience assisting with marketing communications for events, including crafting and refining email and landing page promotional copy.
  • Exceptional negotiation, verbal, and written communication skills.
  • Strong project management skills with the ability to manage multiple high-visibility events concurrently in a fast-paced environment.
  • Experience with sponsorships, partnerships, and speaker management is preferred.
  • Self-starter with the ability to work independently or as part of a cross-functional team.
  • Proven problem-solving abilities and a strong attention to detail under tight deadlines.
  • Ability to think creatively and strategically while balancing operational excellence.

REQUIRED SOFTWARE EXPERIENCE

  • Proficiency in Microsoft Office Suite and event management software/tools.
  • Proficiency in using a project management tool (Asana, Smartsheet, Airtable, etc) to organize and communicate status and execution of tasks is preferred.
  • Experience with CRM tools (Salesforce) and marketing automation platforms (Pardot, SF Marketing Cloud) is a plus.

This role will work closely with key stakeholders across the organization, including marketing, sales, senior management, and external vendors. Strong interpersonal skills and the ability to collaborate effectively are critical for success.

  • Comfortable handling ambiguity and shifting priorities in fast-paced scenarios.
  • Strong time management and organizational skills with a proven ability to manage multiple tasks simultaneously, while successfully meeting demanding deadlines.
  • Excellent communication skills, with the ability to adapt messaging for technical and non-technical audiences.
  • Ability to consistently learn new event technologies and best practices, applying them to enhance event outcomes
