About the Role
As the Executive Assistance, you will handle a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. You must be capable of maintaining the highest level of confidentiality and integrity. You must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a Chief Legal and Compliance Officer, including acting as the key first point of contact and key interface between the Chief Legal and Compliance Officer and the legal leadership team and other senior members of HARMAN.
What You Will Do
The ability to interact with staff (at all levels) in a fast-paced environment, be agile and professionally adapt to changing priorities and deadlines, while maintaining a high-level flexibility, creativity, resourcefulness, and efficiency.
- Provide administrative support to the Chief Legal & Compliance Officer and/or their delegates to include but not limited to:
- Scheduling domestic and international travel arrangements
- Managing Outlook calendars; including the coordination of complex executive meetings and board meetings
- Providing WebEx, videoconference and teleconference support
- Preparing and tracking travel and entertainment expense reports
- Answering phones and taking messages as needed
- Handling all general administrative duties including faxing, copying, scanning, mailings, invoice processing and reconciliation
- Creating and editing PowerPoint presentations and other documents, including financial reports
- Maintaining organization charts
- Assist the Chief Legal & Compliance Officer to service all board and committee meetings and ensure the smooth conduct of business, including all logistical and other arrangements, including but not limited to:
- Collect data and assemble board packets in a timely manner
- Prepare and disseminate all board and committee documents
- Assure professional and error free agenda and other materials are posted and mailed appropriately
- Attending and convening meetings,
- Review of minutes and/or minute taking as assigned
- Management of BoardVantage or similar board management systems
- Tracking and following up on action items
- Ensuring action items are communicated and taken forward by the appropriate key people
- Assist with board orientation for new board members
- Assist the Chief Legal & Compliance Officer with monthly, quarterly, and annual compliance and other legal reports, including relevant data collection and analysis.
- Support the project management of a variety of strategic initiatives and key functional projects.
- Aid with functional and external vendor DEI tracking and succession planning initiatives.
- Successfully complete critical aspects of department deliverables, including drafting correspondence and responses to sensitive litigation, compliance, or regulatory matters.
- Other duties as assigned.
What You Need
- Five (5) years of practical experience with a Bachelor’s degree in Business Administration, or it’s equivalent, plus at least five (5) years of previous experience as a corporate paralegal in a corporation or large or mid-sized law firm.
- Paralegal certificate and/or experience using BoardVantage or other board management software
- High expertise in Microsoft based applications, specifically with MS Excel 2007, PowerPoint and MS Word.
- Ability to develop, institute and maintain new processes
- Superior organizational, communication and follow-up skills
- Ability to react quickly with a strong sense of urgency
- Ability to prioritize multiple tasks and respond promptly to shifting priorities
- Excellent written and verbal communication skills, strong decision-making ability, demonstrated ability to be proactive, and attention to detail are equally important.
- Must have exceptional integrity and high ethical standards and judgment
- Ability to work well in a team environment
What is Nice to Have
- Knowledge of or understanding of basic finance or accounting principals desired, but not essential

- Willingness to travel 5% of the time.
- Willingness to work in a hybrid office environment in Novi, MI or fully remote.
