Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: Our client is a specialised Australian mental health practice led by a senior clinician with deep expertise in neuropsychiatry and evidence-based treatment. Serving a sensitive and high-profile patient population, the practice operates with the utmost discretion and rigorous clinical standards making confidentiality and attention to detail essential in every role.
Role Overview: We are looking for a highly organised, discreet, and mentally resilient Executive Assistant to support a senior clinician in a fast-paced mental health practice. This is not a clinical role, there is no direct patient care involved, but a background in mental health (as a psychologist, nurse, or allied health professional) is strongly preferred to ensure comfort with clinical language, sensitivity to case materials, and an understanding of the regulatory environment.
You will be the operational backbone of the clinician's day-to-day work, managing diary and workflow systems, preparing appointment materials, and ensuring nothing falls through the cracks. Given the sensitive and confidential nature of the clientele, including high-profile individuals, cybersecurity awareness and strict confidentiality practices are non-negotiable.
Key Responsibilities:
Manage the clinician's diary and scheduling using Heidi software
Organise clinical workflows and ensure a smooth patient journey from referral to review
Prepare appointment scripts, templates, and briefing notes for consultations
Monitor outstanding tasks to prevent patient abandonment and ensure continuity of care
Uphold strict confidentiality and cybersecurity practices when handling sensitive client data
Liaise with external stakeholders (referrers, allied health, insurers) professionally
Support regulatory compliance and documentation with relevant health practitioner authorities
Proactively identify and resolve operational issues before they escalate Requirements
Mental health background preferred; psychologist, nurse, or allied health professional
Highly organised with exceptional attention to detail and ability to manage competing priorities
Emotionally resilient, able to work with sensitive case materials professionally and objectively
Cybersecurity-conscious with strong discretion in handling confidential data
Excellent written and verbal communication skills in English
Proactive and solutions-oriented; able to work independently with minimal direction
Experience in executive support, medical administration, or clinical coordination
Familiarity with Heidi or similar clinical scheduling software is an advantage

This is a remote role that will be set up as an independent contractor engagement.
