About the Role
We are seeking a highly experienced and proactive Executive Assistant to directly support the CEO of an Australian business.
This is a high-performance, client-facing role that requires strong communication skills, excellent organisation, and the ability to operate independently. You will act as the CEO's right hand—managing priorities, communication, and execution at a high level.
Key Responsibilities
Manage the CEO's inbox end-to-end, including drafting, responding, and prioritising emails
Handle inbound and outbound calls with clients, stakeholders, and internal teams
Manage the CEO's calendar, meetings, appointments, and daily priorities
Coordinate meetings, agendas, action items, and follow-ups
Prepare reports, summaries, presentations, and executive-level documents
Track tasks across multiple priorities and ensure deadlines are met
Act as a gatekeeper to protect the CEO's time and remove inefficiencies
Maintain confidentiality across all CEO-related matters
Requirements
5–10 years of experience supporting Western executives, ideally from Australia, the US, or the UK
Near-perfect written and spoken English
Strong phone presence with excellent communication and professionalism
Proven ability to work independently and make decisions confidently
Highly organised with excellent attention to detail
Fast, responsive, and execution-focused
Experience working in fast-paced or high-performance environments
Systems & Tools
Microsoft Office (Outlook, Excel, Word) – Essential
Google Workspace
CRM systems such as HubSpot or Salesforce
VoIP and communication tools such as Zoom or Microsoft Teams

CEO inbox is fully managed with no backlog or missed opportunities
Calls and client communication are handled professionally
Calendar and meetings run efficiently without conflicts
Follow-ups and tasks are completed without needing reminders
CEO can focus on higher-level priorities due to strong support
