We are currently seeking a Human Resource Assistant who will report to the Director, People and Culture and is a key member of the People team. This enthusiastic, highly organized and proactive member of the team provides vital support to the recruitment process by managing job requisitions and postings, assisting with the scheduling and booking of interviews, and supporting onboarding activities. A primary part of this role is managing scheduling, communication, and coordination between candidates, hiring managers, and interview panels to ensure everything runs smoothly and in a way that creates a great candidate experience. The Coordinator also supports reporting through managing recruitment metrics and proactively gathering insights about our process and potential improvements.
Responsibilities:
Recruitment Support:
- Manage job postings in ATS and connected job boards, including updating and refreshing as needed
- Support communication with candidates
- Schedule pre-screens, interviews and follow up with candidates regarding availability
- Ensure interviewers have copies of candidate documentation and interview guides
- Help with reference checks when needed
- Respond to candidate inquiries as required
- Manage recruitment tasks in project management system
Onboarding Support
- Support gathering and tracking of required documentation from new hires
- Support the preparation of onboarding materials and coordination with other departments to ensure a smooth transition for new hires
Metrics and Reporting
- Track recruitment metrics on a weekly and monthly basis
- Monitor progress to ensure our monthly hiring goals are being met
- Gather insights, identify trends and flag opportunities for improvement
The candidate:
- 2 years of experience in an HR support role
- Strong organizational and communication skills
- Excellent attention to detail
- Experience with applicant tracking systems (ATS) and HR software
- A service-focused mindset
- Must have own computer and a quiet, professional space to work from home
