Job Title: Operations Coordinator

Location: Remote

Rate: $10-$20

JOB OVERVIEW:

We are seeking a motivated and detail-oriented Operations Coordinator and Inventory Planner to join our team and support our partnership with Wonderbelly. The ideal candidate will have experience in inventory management and demand planning, purchase order and/or sales order processing, invoice handling, data analysis, and logistics coordination. They should be proficient in using inventory management software such as Fishbowl or similar systems, Accounting and/or billing systems such as Quickbooks Online and BILL.com, and Google Sheets/Excel.

KEY RESPONSIBILITIES:

  • Manage inventory using the designated system (Fishbowl), including creation of Purchase Orders, receipt of inventory produced by manufacturers, processing of manufacturer bills, and reconciliation of Purchase Orders
  • Creation of sales orders through the designated inventory management system and management of communications sent through and received in EDI system (SPS Commerce)
  • Ensure accurate and efficient handling of inventory cycles and data management.
  • Ensure data integrity across all systems including inventory management system (Fishbowl), accounting system (Quickbooks Online), Billing System (Bill.com) and EDI (SPS Commerce)
  • Coordinate with internal teams to gather data on production schedule, inventory levels, excess inventory and safety stock, shipments, and sales trends.
  • Work closely with the Operations Manager and Logistics Manager to streamline processes and improve efficiency.
  • Work with Finance team to resolve financial discrepancies related to inventory purchasing, sales orders and inventory management system
  • Provide reports and analysis on inventory performance and suggest improvements.
  • Collaborate with external partners, including 3rd party logistics providers and warehousing partners, and vendors (co-manufacturers, co-packers, freight forwarders) to optimize logistics and supply chain operations.
  • Stay updated on industry trends and best practices in inventory management and logistics.

Requirements

QUALIFICATIONS:

  • Previous experience in inventory management, preferably in a supply chain, pharmaceutical or consumer packaged goods (CPG) industry.
  • Proficiency in using inventory management software such as Fishbowl or similar systems.
  • Strong skills in Google Sheets/Excel for data analysis and reporting.
  • Familiarity and experience with accounting concepts
  • Experience with accounting software, including Quickbooks Online, preferred
  • Excellent communication and collaboration abilities.
  • Highly Important: Detail-oriented with a focus on accuracy and efficiency.
  • Ability to work independently and in a team environment.
  • Willingness to learn new software tools and adapt to changing requirements.
  • Creative and independent problem solver who can independently recognize issues and concerns and come to the table with ideas for solutions
  • Bachelor's degree in Supply Chain Management, Logistics, or a related field (preferred but not required).
