The Role:
Carrot Fertility is seeking an experienced Payroll Specialist to join our fast-growing team. You will collaborate closely with the People and Finance Teams to ensure accurate, timely payroll processing in compliance with all legislative requirements across 40+ states. In this role, you will manage payroll operations for our 400+ US employees, including exempt and nonexempt staff, ensuring that all compensation and deductions are processed in accordance with local, state, and federal regulations. You will also be responsible for continuous process improvement, maintaining compliance, and enhancing the employee experience by efficiently addressing payroll inquiries. The right candidate will be a detail-oriented, problem-solving professional with strong interpersonal skills and a commitment to confidentiality.
Key Responsibilities
Payroll Processing: Accurately process semi-monthly payroll for exempt and bi-weekly payroll for nonexempt employees across 40+ states, ensuring adherence to all relevant regulations. Review and verify timesheets and attendance records.
Employee Data Management: Enter, audit, and maintain employee data within payroll systems, ensuring the accuracy of compensation, benefits, and deductions.
Collaborate with Vendors: Work with external payroll and benefits providers to guarantee accurate, timely payroll data transfer and payment processing.
Leave Management: Process payroll changes related to employee leaves (e.g., pregnancy, parental, disability).
Tax Compliance: Manage multistate tax registrations and filings, including the setup of new state or provincial tax accounts, while ensuring adherence to state, federal, and local payroll tax Laws.
Audit and Reconciliation: Assist with month-end close reconciliations, conduct payroll audits, and resolve discrepancies in collaboration with HR and Finance teams.
401(k) Administration: Process 401(k) contributions, monitor changes, and ensure compliance with 401(k) regulations, including balancing and funding through Fidelity.
Special Payments: Handle special payroll transactions such as off-cycle payments, retroactive pay, garnishments, and statutory deductions.
Tax Reporting: Reconcile and prepare W2 forms and ensure accuracy in quarterly and year-end payroll tax filings, including Federal and State returns and amendments.
Employee Support: Serve as a point of contact for employee payroll questions, explaining deductions and addressing issues with a customer-first mindset.
Qualifications
- Experience: Minimum 3+ years of relevant payroll experience in a multistate environment.
- Systems Expertise: Proficiency in ADP Workforce Now (WFN) or other payroll systems is required. Experience working with HRIS platforms is a plus.
- Compliance Knowledge: Deep understanding of federal, state, and local payroll regulations, tax laws, and reporting requirements.
- Excel/Google Sheets: Advanced skills with Excel and Google Sheets, including working with large datasets for reconciliation and reporting purposes.
- Analytical Skills: Strong analytical and problem-solving abilities with attention to detail and accuracy.
- Communication Skills: Clear, professional communication skills with the ability to explain payroll-related matters to employees in a friendly, concise manner.
- Confidentiality: Ability to manage sensitive payroll data and handle employee information with complete confidentiality.
- Education: Bachelor's degree in Accounting, Finance, or a related field
Nice to Have
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) designation.
- Experience in benefits administration, particularly regarding payroll deductions and compliance.
- Prior experience with fast-growing, high-volume companies in a multistate payroll environment.
Compensation:

The starting base salary for this position will range from $40.00 - $50.00 per hour. Actual compensation may vary from posted base salary depending on your confirmed job-related skills and experience.
