Position Summary The A+E Proposal Coordinator will demonstrate passion for the AEC design industry, obtaining new work while enhancing the company’s reputation. Primary responsibilities are focused on supporting the entire proposal development process which include pursuit lead tracking, database setup, content assembly and creation, visual layout, formatting, and delivery. Content management is a key component of the position, requiring the ability to organize, save, and update, as well as understanding how to source and adapt information. In addition to proposal development, the Coordinator also contributes to the proposal library database and pipeline. As a member of the Business Development Team, this role requires a whatever-it-takes attitude as proposal submission requirements and deadlines, marketing efforts, and opportunities that often demand extra effort outside of normal business hours.

Essential Duties and ResponsibilitiesTypical functions of the A+E Proposal Coordinator job include, but are not limited to:
- Analyze the RFP instructions and manage the overall desktop publishing production, and delivery requirements of the proposal in coordination with the Proposal Director
- Create the Proposal Production Workplan, Compliance, and Submission Matrices and Checklists
- Review and update the proposal schedule with the Proposal Director, establishing realistic and achievable deadlines for desktop publishing, graphics, color reviews, and editing
- Work with Capture Management teams to plan, coordinate, and complete high-quality Federal, tribal, and commercial proposals
- Write, edit, and proofread resumes, project descriptions, and other proposal content
- Gather and organize proposal content through discussions with management and technical staff to meet Request for Proposal (RFP) and evaluation criteria
- Format and layout proposal pages, resumes, and project descriptions
- Maintain and update resume and project descriptions in the content library throughout the year
- Organize and maintain proposal folders on company server and filesharing systems (MS Teams)
- Prepare Sources Sought/Prequalification/Request for Information (RFI) submittals, client-specific presentations, and Statement of Qualifications (SOQs)
- Generate ideas and create/edit graphics for proposals and provide graphic design support
- Perform other duties as assigned to support proposal and marketing initiatives
Required Background and Experience:
- Excellent written and verbal communication skills, superb organizational abilities along with strong attention to detail
- Ability to work under multiple strict deadlines and compressed schedules
- Manage multiple priorities and deadlines while meeting quality standards and on-time delivery
- Demonstrated ability to interact in a cooperative and effective manner
- Self-motivated with the agility to multi-task
- Ability to work independently, take initiative, set priorities, and see projects through to completion

- Ability to work with technical Subject Matter Experts, understand and interpret solicitations/RFPs and provide guidance and suggestions
- Three (3) years of proposal coordination experience in AEC Industry
- Technical writing and editing experience
- Proficiency in Microsoft Office suite, including Word, Excel, Outlook, and MS Teams
- Proficiency in Adobe Creative Suite (specifically, InDesign), Open Asset and CRM systems
- Familiarity with SAM.Gov or GovWin
- Sitting/Standing: This role is generally sedentary performing sitting work utilizing technological office equipment including a laptop, mouse, keyboard, computer monitors, telephones, scanners, copiers, and/or fax machines.
- Walking: This role requires the ability to move about inside the office to access technological equipment required for the role.

- Carrying/Lifting: This role requires the ability to lift up to 10lbs to transport basic office equipment during the course of travel.
