A founder-led, tech-enabled legal-medical services company is looking for a Client Operations Manager to own end-to-end case coordination and act as the operational backbone linking law firms, insurance carriers, and medical experts.
The business is early-stage and lean, where one person owns broad operational scope and effectively runs their own workflow like a mini-GM. Transactions are high-dollar and high-stakes, the audience is legal and medical professionals, and the culture rewards ownership, precision, and resourcefulness over rigid process.
Work Schedule: Eastern Time | 9:00 AM – 5:00 PM ET, 100% overlap required (Monday–Friday)
Compensation Range: $3,000 - $3,500 USD/month based on experience
Locations: Eastern Visayas, Central Luzon, Mexico City, Bogotá, São Paulo, Cape Town (Work from anywhere in LATAM or the Philippines)
Day-to-day, this role owns:
High-volume, multi-channel queue of active cases across email, phone, and portal
Invoicing, scheduling, and coordination
Building or repairing trackers and processes that keep everything moving
Success means the founders no longer have to chase confirmations or invoices — they fully trust that day-to-end case management is handled, freeing them to focus on growth.
4+ years owning a high-volume queue of cases, accounts, or client relationships end-to-end in a B2B services environment
Proven experience managing high concurrent volume across multiple channels (email, phone, client portal)
Hands-on ownership of money-adjacent workflows (invoicing, billing, or claims/case financial coordination) under zero-defect accuracy requirements
Track record of building or repairing a tracker, SOP, checklist, or workflow process from scratch
Proficiency with Excel and Outlook plus at least one CRM, case-management, or client-portal system
C1+ English (CEFR) — written and spoken at near-native, mastery level for direct communication with US attorneys and medical professionals
Availability to work 9:00 AM – 5:00 PM ET with 100% overlap
Domain exposure to medicolegal, legal services, IME, medical records, insurance, or claims coordination
Experience at an early-stage startup or lean, founder-led services business with broad individual operational ownership
Experience coordinating directly between external professional stakeholders (law firms, medical providers, insurance carriers)
Demonstrated ability to rapidly learn bespoke or proprietary internal tools and systems
Documented promotions or expanding scope within a single organization
