A US-based primary care company is building a new model of locally rooted, independent practices, looking for a Clinic Operations Coordinator to serve as the virtual front desk and keep patient operations running smoothly.
The company is launching multiple net-new independent practices, with initial practitioners already signed and additional providers in contracting. At this stage, early patient experience is the growth engine—responsive, reliable operations directly shape reviews and clinic momentum.
Day-to-day, the role answers and routes inbound calls, manages patient scheduling, monitors email and text communication, and executes EHR workflows for refills, referrals, and documentation follow-ups. Success means no missed calls, no dropped follow-ups, and clean monthly performance reporting that protects clinician time and builds durable patient trust.
Must-Have
2+ years in a medical front desk, clinic coordinator, care coordination, or patient support role
Hands-on experience operating an EHR system, including tasking for medication refills, referrals, and documentation follow-ups
Proven experience managing high-volume inbound patient communication across phone, email, and text
Experience running patient scheduling workflows (new appointments, reschedules, confirmations, cancellations)
Ability to pull and format monthly practice performance reports from an EHR
C1+ English (CEFR) for patient-facing voice and written communication
Nice-to-Have
Direct experience with Athena/Athenahealth workflows and reporting
Experience with Dialpad or a comparable VoIP clinic phone system
Experience supporting multiple providers or practices concurrently (multi-queue operations)
Background supporting primary care, family medicine, or outpatient clinics
