Remote Sales Administrator

Job Description

Extenteam is currently looking for a Sales Administrator who will be responsible for providing administrative support to the sales leaders and ensuring efficient sales operations. This role involves managing sales-related documents, coordinating with internal departments, and assisting with customer inquiries.

Key Responsibilities:

  • Assists in the preparation of sales meetings and presentations,
  • Compiles sales data and prepares weekly and monthly Sales reports, including forecasts.
  • Monitors incoming leads and routes them to the appropriate business development executive.
  • Updates and maintains customer databases with accurate information.
  • Audit deals regularly for accuracy of dates, proper stage, required fields, next steps, notes and associations, accuracy of JD and schedule, association of company and contacts, etc.
  • Change stage when automation is received (closed Lost with reason never onboarded), when a deal was never onboarded, and update the bonus audit as well.
  • Refresh Monthly Marketing Reports.
  • Make recommendations on other reports we can get from HubSpot.
  • Assists in monitoring sales performance metrics and targets.
  • Collaborates with other departments, such as Admin, Marketing, Human Resources (Workforce and Recruitment), and Partner Success to support Sales activities.
  • Attend meetings and follow up on takeaways and meeting notes/summary and adds action items into the project management tool.
  • Updates Sales SOPs as we make changes.
  • Get sales commission documents signed and processed.
  • Audit monthly churn for changes in commission/claw backs.
  • Plan off site details (travel, lodging, any documents we need)

Requirements

Qualifications and Skills:

  • Proven experience in a similar role, preferably in sales administration or support.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in remote collaboration tools and software, such as Microsoft Office, Google Workspace (Google Sheet, Google Doc, Gmail, Google Drive), CRM systems, and project management tools.
  • Attention to detail and accuracy in data entry and document preparation.
  • Ability to work effectively in a fast-paced environment and prioritize tasks.
  • Knowledge of CRM software (ie. Hubspot) is a plus.
  • Have a strong work ethic (integrity and commitment).

TECHNICAL REQUIREMENTS:

- Internet speed minimum 30mbps

- i5 8th Gen or higher

- Windows 10 / MacOS Catalina or higher

- Minimum of 8 GB RAM
- Private and quiet dedicated home office area (no roosters, dogs, children's noises in the background)
- Back-ups in case of power or internet provider interruptions
- Good headset and webcam (preferably noise-canceling headset)
