ABOUT THE JOB
The Senior Talent Acquisition (TA) Operations Specialist is responsible for the execution and administration of key recruitment and pre-boarding activities. This role optimizes Talent Acquisition performance by establishing and overseeing effective workflows, programs, and projects. The Senior TA Operations Specialist partners with vendors and other COEs to ensure workforce strategy and talent acquisition operations remain efficient and productive. This roleplay an integral role in how candidates and new hires experience OneStream.
RESPONSIBILITIES
TA Operations Responsibilities:
- Performing recruiting coordinating duties such as creating offer letters, scheduling interviews, background checks, and campus coordination.
- Standardize a global TA onboarding, training, knowledge development process and function
- Work with the appropriate Communications and Marketing staff to ensure that the OneStream brand and strategy are reflected on all web/social media platforms and in all recruiting materials.
- Support TA Operations Programming (i.e., early in career, Hiring our Heroes, etc.).
- Maintain compliance with federal, state, and local employment laws and regulations, and recommend best practices; review policies and practices.
- Participate in special projects as a member of the Talent Acquisition team to innovate and continuously improve our processes to ensure we are complying with all company policies and applicable laws and regulations.
- Schedule and coordinate candidate interviews and screens with hiring managers and candidates
Pre-Boarding Responsibilities:
- Manage and maintain the global process of the pre-boarding experience of new hires, and temporary workers.
- Act as the lead Background Investigation specialist to ensure all required background checks are reviewed and completed and maintain account relationship with HireRight.
- Determine new hire’s eligibility of employment by reviewing results of background check investigation.
- Responsible for reviewing and executing adverse action cases with the compliance and legal departments regarding background check results.
- Serve as the SME for all things preboarding and operations through strong, collaborative, and consultative relationships between Talent Acquisition, Talent Development, and Information Technology departments.
- Oversee and maintain equipment orders for new hires, swag for new hires and recruiting, and identify and fulfill team supply needs.
- Reviewing onboarding documents for completion including I-9, E-Verify, Right to Work (EMEA and APAC regions) and work/education verification.
- Review and process employment actions in our HRIS and send corresponding notification letters.
- Ensuring all onboarding is done following standard work and policy, including obtaining all relevant clearances as part of background investigation process.
- Communicate with new hires regarding potential sensitive and PII information or questions about document submission.
- Act as the main point of contact between the new hire and the hiring departments.
- Ensuring tasks are completed accurately and timely; may perform transactional work in the absence of others.
QUALITIES OF A SUCCESSFUL CANDIDATE
Formal Education and Certification
- BSc/BA in Human Resources, or 3-5 years of relevant experience within Human Resources or Talent Acquisition departments.
Knowledge and Experience
- Minimum of 3 years of HR/TA experience
- Experience with ATS/HRIS
- Experience in background check reviews and risk awareness
- Exceptional organizational skills
- Working knowledge of Microsoft Office products, with Intermediate Excel skills
- Strong attention to details
- A keen eye for detail and ability to create and maintain processes.
- Excellent time and task management skills, with the ability to prioritize, multitask, and work under shifting deadlines in a fast-paced environment.
Nice to Have
- SHRM or PHR Certification
- Adept at the use of Microsoft Word, Excel, and PowerPoint, including the ability to perform VLOOKUP's, pivot tables, formulas, and audit data, as needed.
- Experience taking end-to-end ownership of projects and programs and driving results with a strong sense of efficiency, accuracy, follow-through, escalations, and confidentiality.
- Demonstrated ability to manage multiple projects and programs with a strong ability to partner with and influence cross functional stakeholders.
