We’re looking for a supervisor to join our rank. The virtual administration team is a group of service-minded problem-solvers who work directly with Commonwealth’s independent financial advisors and their staff. Our team prides ourselves on a mix of hard work and fun coming together to give advisors time back. We accomplish this goal by providing middle office support like document preparation and submission, account establishment and updating, CRM management, money movement processing, and various other elements of direct and back-office client support.

As a supervisor, you will guide, mentor, and motivate direct reports while supporting the day-to-day departmental operations. You will work to support both of our existing service models VA Classic and VA OnDemand. This role will serve as an on-team expert in Commonwealth process and procedure and will have a key role in helping determine future scope additions and restrictions as well and handling escalations. Key Responsibilities

  • Exhibiting a strong knowledge of relevant forms, systems, and procedures as an expert resource for team members and participating offices
  • Responding to escalations and scope clarification questions in a decisive and timely manner
  • Serving as a point of contact for prospective and participating advisors and their teams
  • Working closely with team leadership to set goals, implement new initiatives, and address challenges facing the team
  • Overseeing direct reports by monitoring performance to ensure team policies and practices are properly applied, providing guidance and suggestion as needed
  • Making recommendations regarding training, resource development, and other elements of oversite to ensure team members are supported appropriately
  • Partnering with the supervisory team to interview and make hiring recommendations for new team members
  • Working as a virtual member of advisors’ offices, providing support and coordination with other Commonwealth departments on various tasks 
  • Assuming ownership of all tasks and inquiries, seeing them through to a timely resolution
  • Performing in scope services including CRM maintenance/management, document preparation, account opening/updating, money movement and alerts monitoring
  • Leveraging expertise in investment industry guidelines, regulatory updates, market trends and industry changes to identify opportunities to enhance team member knowledge and resources

Additional Skills and Knowledge

  • 3+ years’ experience providing direct support for Financial Advisors and their clients
  • 2+ years of supervisory or leadership experience preferred
  • Experience with CRM applications preferred
  • Extensive experience with BOS+
  • Extensive experience with Fee-Only process and paperwork
  • Series 7 certification preferred.
