Trading Execution Manager

Our client is a Ukrainian company in the agro and logistics sector that has been operating on the market for over 9 years. The main business is grain trading: the company purchases grain, organizes its transportation and export.

Currently, the company is actively developing logistics routes through Western Ukraine. In parallel, it is undergoing internal transformation: systematizing business processes, developing digital infrastructure, implementing Microsoft 365, Teams, Power BI and other tools. This is a good time to join the company and build the contract execution process the way you see fit.

Your role

After the trader concludes a deal, you are responsible for ensuring that the contract is executed on time, in full, with the required quality, documents and settlements. You will be the central coordinator between trading, suppliers and buyers, logistics, finance, accounting, laboratories and terminals.

Цикл роботи: Contract → Execution Plan → Nomination → Logistics Coordination → Loading / Shipment → Delivery → Quantity & Quality Confirmation → Documents → Payment Control → Contract Closing.

What you will do

• Accept purchase and sales contracts into execution, verify key terms and develop an execution plan.

• Maintain Trading Execution Calendar and balance each contract: Contracted → Nominated → Loaded → Delivered → Remaining.

• Prepare, submit and monitor nominations for batches, wagons, trains and other shipments.

• Be the primary operational contact person for suppliers and buyers after contract conclusion.

• Set a clear task for logistics (what, how much, from where, to where, when) and monitor that the logistics plan allows for contract execution.

• Synchronize purchases with sales and identify execution gaps in advance.

• Control quantity, quality, tolerance, laboratory analysis results and certificates.

• Control completeness and timeliness of documents: Commercial / Proforma Invoice, Weight List, CIM, Certificate of Quality, Certificate of Origin, EUR.1, T1, GMP+, phytosanitary and others.

• Together with finance, track payment status and prevent shipments without understanding payment terms.

• Coordinate handling of quantity / quality claims, delays and additional costs.

• Finally close shipments and contracts without outstanding balances and open questions.

What is important to us

• Practical experience in execution of trade contracts in commodity / agro / grain business or related field.

• Understanding of purchase and sales contracts, Incoterms, delivery periods, tolerance / option and nomination procedures.

• Understanding of international logistics and transport documents.

• Experience in controlling quantity, quality and documents for shipments.

• Ability to plan and coordinate a large number of simultaneous operations.

• High attention to detail regarding deadlines, figures and contract terms.

• Confident proficiency in Excel / Google Sheets / ERP or accounting systems.

• English at the level of daily correspondence, negotiations and execution of international contracts.

• Possession of a driving license category B.
