Key Responsibilities:
Office Management: Efficiently manage office supplies, equipment, and facilities, ensuring smooth daily operations. Oversee inventory, place orders, and maintain a clean and organized workspace.
Communication Support: Handle inbound and outbound communication, including phone calls, emails, and correspondence. Serve as the first point of contact for clients, visitors, and staff.
Scheduling & Calendar Management:** Organize and manage the executive or team calendar, coordinate meetings, appointments, and travel arrangements. Ensure all scheduling is efficient and deadlines are met.
Document Preparation & Filing: Prepare, edit, and proofread documents, reports, and presentations. Maintain an organized filing system for both physical and electronic documents.
Data Entry & Reporting: Maintain accurate records and data entry, assisting with reports, spreadsheets, and databases. Help track progress on ongoing projects.
Event Coordination: Assist with the planning and execution of company events, meetings, or conferences. Handle logistics, catering, and attendee coordination.
Customer/Client Support: Provide administrative support to clients, including answering inquiries, managing contracts, and coordinating services.
Key Requirements:
Education: High school diploma or equivalent required; a degree in business administration, communications, or a related field is a plus.
Experience: 2+ years of experience in an administrative or office support role. Experience in a similar industry is beneficial.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software (e.g., scheduling tools, document management systems). Experience with data entry and maintaining spreadsheets.
Communication:Excellent verbal and written communication skills. Ability to engage with clients, staff, and management in a professional manner.
