    About the role

The Business Process Analyst plays a critical role in the Admissions Transformation Programme by ensuring that process simplification and operational improvement underpin all change activity. The role analyses and documents current admissions processes, identifies inefficiencies and dependencies, and supports the design of lean, future state ways of working. By helping teams develop a shared understanding of end-to-end processes, the postholder reduces delivery risk, supports business led prioritisation, and enables measurable improvements in service effectiveness and customer experience.

    Key accountabilities:

    • Map, document and maintain current-state admissions processes using UCAS standard tools and methodologies, ensuring documentation is clear, accurate and version controlled.

    • Capture detailed process catalogues including inputs, outputs, systems, decision points and roles through structured workshops, observations and SME interviews.

    • Apply lean thinking to identify waste and inefficiencies, such as bottlenecks, rework, delays, hand-offs or inconsistencies, and clearly articulate their impact on customers and operations.

    • Actively contribute to ‘blue sky’ discussions by exploring the art of the possible and suggesting innovative, lean-led opportunities to improve admissions processes.

You can find the full job description in the attached role profile below.

    Skills, qualifications, and experience

    • Demonstrable experience of process mapping, documentation or workflow analysis within a complex operational or service environment.

    • Demonstrable experience of applying Lean, Continuous Improvement or Business Process Improvement approaches to identify inefficiencies and improvement opportunities. Relevant professional qualifications in process analysis, lean or continuous improvement are desirable.

    • Ability to interpret qualitative and quantitative information, identify themes and summarise findings clearly for a range of stakeholders.

    • Strong communication skills, with the ability to document processes, insights and requirements in a clear, structured and accessible way.

    • Confidence engaging with subject matter experts and operational colleagues, building trust and encouraging participation in process improvement activities.

    • Working knowledge of process modelling tools such as Visio or equivalent, and experience following documentation standards.

    • Strong organisational skills, with the ability to manage and prioritise workload across multiple activities within a change or transformation context.

    • Considerable experience supporting transformation or significant change initiatives, ideally involving business process change, technology or service redesign.

    Package

Salary – up to £43,000 DOE

    • Purpose-driven work in a charity-led organisation connecting people to education and opportunity

    • Internal training, mentoring, and access to industry-recognised certifications through our development academies

    • Hybrid working model built on trust and flexibility, with a 35-hour week and flexible contracts

    • 30 days annual leave, 3 concessionary days over Christmas, bank holidays, and the option to purchase additional leave

    • Everyday wellbeing support through Perkbox, offering discounts and wellness tools

    • Onsite facilities including a subsidised gym, café, and free parking at our Cheltenham office

    • Inclusive culture supported by employee networks, wellbeing champions, and Mental Health First Aiders

    • Recognition and reward through our quarterly employee scheme and an ex-gratia bonus for going above and beyond

Studies have shown that some groups of people are less likely to apply to a role unless they tick every box. At UCAS, we recognise that talent comes in various forms and we are committed to delivering a fair and equitable recruitment process where applicants have an equal opportunity to demonstrate their skills. So, if you are interested in this vacancy, but don't necessarily meet every single point on the job description, please still apply.

If you have any questions and would like to find out more about the role before applying please email the Talent Acquisition team via careers@ucas.ac.uk and one of us will be in touch.
