The Chief of Staff will be a critical force in organizing and optimizing the CEO's agenda, driving key initiatives, and ensuring operational excellence across the company. This role is designed for a detail-oriented individual with a strong background in operational processes, who thrives in a fast-paced environment and is focused on efficiency and execution. The ideal candidate will be creative, adaptable, and proactive in establishing new processes in a rapidly changing environment.

Requirements

  • A minimum of 8-10 years of professional experience in business operations, project management, or related fields within the technology sector. Experience in a high-growth or startup environment is highly preferred.
  • Strong Educational Background: Advanced degree preferred (e.g., MBA).
  • Proven track record of effective leadership and an ability to drive projects to completion in a timely and efficient manner.
  • High Emotional Intelligence: Skilled in understanding and managing personal emotions and empathizing with others.

Necessary Technical Skills:

  • Project Management: Advanced proficiency in project management tools such as Asana, Trello, or Jira to oversee and drive initiatives from conception through implementation. PMP Certification preferred
  • Data Analysis: Strong ability to analyze and interpret data to inform decisions. Experience with Excel, Google Sheets, and preferably more sophisticated tools like SQL, Tableau, or R.
  • Communication Tools: Expertise in utilizing modern communication and collaboration tools such as Slack, Microsoft Teams, or Zoom to maintain fluid communication across teams and with the CEO.
  • Business Operations: Solid understanding of business operations, financial principles, strategic planning, and performance metrics. Ability to comprehend and work with budgets, forecasts, and reports to maintain and improve operational efficiency.

Additional Abilities:

  • Adaptability: Demonstrated ability to adapt quickly to changing priorities, assignments, and roles. While being able to understand and implement new technologies or systems rapidly.
  • Strategic Thinking: Ability to contribute to strategic planning and vision setting. Able to foresee potential challenges and opportunities and plan accordingly.
  • Leadership: Prior experience in leading teams or managing projects with a collaborative and motivational style. Proven ability to manage through influence and build consensus across various stakeholder groups.
  • Industry Knowledge: Strong understanding of the technology landscape and it’s a strong bonus if the candidate is knowledgeable about payments processing, the area in which the company operates.
  • Entrepreneurial Mindset: Comfort with taking risks, responsibility, and an understanding of startup challenges.

Key Responsibilities:

  • Operational Efficiency & Creativity: Implement, refine, and, where necessary, invent processes to keep the company organized and efficient. Ensure that the CEO's weekly, monthly, and quarterly agendas are meticulously planned and executed.
  • Project Management & Change Management: Take on and drive key projects, ensuring they are completed efficiently and effectively. Assist and manage critical changes and communications across the executive and leadership team.
  • KPI Management & Strategy Development: Assist in developing and maintaining management KPIs. Dive into the details when KPIs are off target to understand issues and drive solutions. Contribute to developing initial organizational strategies and visions, creating, and communicating long-term goals.
  • Communication and Coordination: Facilitate effective communication between the CEO and other departments. Ensure that all teams are aligned with the company's operational rhythm and milestones. Establish a rhythm of business for key events and initiatives.
  • Executive Organization: Enhance the CEO's effectiveness by ensuring they are fully prepared for all engagements. Provide meeting pre-reads, take detailed notes, follow up on action items, and give directions to support staff as needed.
  • Process Innovation: Establish processes where none exist, building out practices related to business operations/reviews, planning, and strategy. Ensure that teams are aligned and invested in the right initiatives, enhancing overall productivity and focus.

Compensation: $95,000 - $140,000 + equity
