Position Summary: We are seeking a highly motivated and organized Executive Assistant to provide top-tier administrative support to key executives at FreedUp. In this dynamic role, you will focus on managing schedules, assisting with project coordination, and handling both business and personal tasks. Specifically, you will work closely with our financial executive, helping to streamline task delegation, optimize time management, and enhance strategic coordination.
This role is essential in maintaining daily operational flow and handling a high-level workload effectively. The ideal candidate will be organized, tech-savvy, and comfortable with advanced administrative responsibilities, including email management, scheduling, and task tracking. As the Executive Assistant, you will play a vital role in ensuring productivity, efficiency, and seamless operations at FreedUp.
Schedule
- Monday to Friday, 8:00 AM - 5:00 PM CST
Pay Range
- 1,000 - 1,400 USD per month, depending on experience
Requirements
Responsibilities:
- Email and Communication Management: Organize and manage the executive’s email inbox, ensuring timely responses and prioritizing essential communications.
- Scheduling and Calendar Management: Coordinate meetings, appointments, and follow-ups, balancing multiple priorities and time zones as needed.
- Task Delegation Support: Collaborate with the executive to identify, organize, and delegate tasks, utilizing task lists and project management software. Proactively recommend delegation opportunities to streamline workload.
- Document and Task Tracking: Maintain organized records of tasks, deadlines, and follow-up items. Track task completion and provide reminders for high-priority items to ensure all details are managed efficiently.
- Meeting Preparation and Follow-Up: Prepare agendas, gather relevant information, and document meeting notes, action items, and next steps. Ensure follow-through on outcomes to keep workflows aligned.
- Process Improvement: Identify and implement enhancements in task management and communication protocols for optimal productivity and smooth workflows.
- Tool Management: Use email management systems, task lists, and organizational software to support efficient delegation and communication.
Qualifications:
- Experience: Minimum of 2 years as an Executive Assistant, ideally within finance or supporting senior executives.
- Skills: Proficiency in email management, scheduling software, and project management tools. Familiarity with task delegation tools is advantageous.
- Communication: Excellent written and verbal communication skills with an emphasis on clear communication protocols.
- Organization: Highly organized and detail-oriented with strong prioritization skills and a proactive approach to managing tasks and deadlines.
- Adaptability: Flexible and adaptable, capable of adjusting to shifting priorities and dynamic schedules.
