Primary Goal: With direct supervision, builds and maintains relationships with clients and interpreters, coordinates the delivery of interpreting services, the department’s primary function. The Junior Scheduling Coordinator coordinates a high-volume workload of requests to fill, provides first-level issue resolution and acts as the primary point of contact for clients and vendors. With input from the supervisor, balances many factors to wisely purchase services from interpreters and vendors. Establishes trust with clients by responding to all communication in a timely manner. Acts in accordance with GLOBO Interpreting mission and values.

Responsibilities:

  • With supervision accompanied by independent judgment and confidentiality, the Scheduling Coordinator performs, but is not limited to the following tasks:
  • Coordinates all aspects of scheduling the delivery of interpretation services for GLOBO’s clients.
  • Closely follows established scheduling process and works within complex scheduling software.
  • Assesses client’s needs. Analyzes and determines the interpreter most qualified to fill the request.
  • Consults with supervisor as needed, although works primarily independently.
  • Replies to client requests with follow up telephone calls, emails, and confirmations; and works closely with clients on scheduling needs for their specific departments.
  • Screens and triages telephone calls and emails for the company.
  • Answers phone calls, and discerns needs of caller: last minute requests follow up with interpreter location, time of arrival, confirmation of interpreter, translation requests, rescheduling and education on referral process.
  • Maintains the scheduling ticket queue by reviewing each request and responding appropriately to each request.
  • Complies with the scheduling process to keep the requests organized and status up to date with appointment.
  • Utilizes the scheduling system to schedule interpreter staff. Consults with Supervisor, Interpreter Leads and Interpreter Manager, as needed.
  • With close attention to detail, communicates job details with interpreters and clients
  • Performs other duties as assigned.
  • Covers for lunches/breaks/vacations for other Interpreter Schedulers.
  • Attends scheduled training activities and meetings.
  • Additional responsibilities as assigned.

Supervisory Responsibilities: This position does not have direct supervisory responsibilities.

Work Environment: This position predominantly operates in a hybrid professional and/or remote office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. While performing the duties of this job, the employee may be required to stand up or to sit for up to eight hours or more at a time. The employee must use his/her hands to handle or feel objects, tools, or controls and reach with hands and arms. The employee is occasionally required to walk, sit, climb, or balance, and stoop, kneel, or crouch. The employee may be required to occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.

Requirements

Required Minimum Education and Experience:

The Scheduler must have a high school diploma, and 2.5 years of related work experience is preferred. Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Demonstrated proficiency with Microsoft Office Word and PowerPoint and superior knowledge of Excel
  • Experience with Google Docs and Apple/Mac Operating System preferred
