Manager, AP Contributions

Position Overview

This position oversees general activities relating to payments and reporting to unions, guilds, and fund offices. The Manager AP Contributions directs a team of AP Contributions Coordinators responsible for the timely processing of payments for Pension, Health & Welfare and Work Dues. He/She is expected to have strong accounting skills, a high level of knowledge of union rules regarding contributions and excellent communication skills. This position also works closely with the Labor Relations and Payroll teams.

Responsibilities

  • Ensure timely processing of weekly and monthly contribution dues
  • Address escalated internal and external concerns in a timely manner
  • Analyze reporting requirements and develop requirements specifications for programming, testing criteria and acceptance testing of the outcomes
  • Collaborate with IT team on reporting requirements and requests to enhance existing contribution reports to improve team efficiency
  • Review current processes and identify opportunities for improvement and streamlining
  • Track and manage AP contributions ticketing system which includes but is not limited to, ensuring accurate data is captured, tickets are properly assigned, escalated, and resolved timely (i.e., Salesforce)
  • Identify and address root causes of issues causing reporting errors or discrepancies as reported by unions, coordinate with appropriate payroll teams if additional actions are required
  • Maintain up to date desktop procedures and provide user training
  • Act as the point person for all payroll adjustments related to contributions
  • Prepare and publish internal reporting pertaining
    1. Outstanding invoices
    2. AP debits (payroll adjustments, overpayments, etc.)
  • Ensure that AP debits (e.g. overpayments to unions, guilds, and fund offices) are accurately tracked, providing timely periodic reporting and collection of amounts due
  • Provide quality service to internal and external customers
  • Other projects may be assigned

Qualifications

  • Bachelor’s degree or equivalent work experience preferred
  • 5+ years of experience working with unions, guilds, and fund offices preferred
  • Excellent oral and written communication ability
  • Ability to work towards team and individual goals
  • Must exhibit sense of urgency regarding client servicing
  • Flexibility to shift priorities as needed to service the team’s clients and needs
  • Self-motivated, organized, must be able to work independently and track unresolved issues
  • Proficiency with Microsoft Office – Excel and Word
  • Proficient knowledge and utilization of payroll systems and ERP (Oracle preferred)

Special Work Conditions

  • Sedentary – involves sitting most of the time but may involve walking or standing for brief periods of time. Some positions may entail exerting up to 15 lbs. of force occasionally and/or a negligible amount of force to lift, carry, push, or pull.
Compensation is commensurate with various factors including, but not limited to, relevant experience, qualifications, skills, training, licensure, certifications, geographic cost of labor, and other business and organizational needs. Compensation range for candidates in other locations may differ based on the cost of labor in that location.The compensation range for this position is:$90,000—$100,000 USD
