My name is Noor and I am the COO at Impact School - We work with entrepreneurs to scale their businesses and make a positive impact on the clients they serve. Our goal when we work with any of our clients is to help them build the biggest, most profitable business that they possibly can - and by extension help them have a larger impact on their clients and the world around them.

We are looking to hire a motivated, experienced Operations Assistant who will primarily support the Operator of the Company and secondarily help other departments with admin tasks/duties. We need someone who can focus on working to support the operations within the company and, at the same time, be versatile and able to assist different departments with their administrative needs. If you are a confident and dependable Administrative Rockstar who is consistent and team-motivated, then this might be the role for you!

This is a full-time remote position.

Requirements

We are looking for an Operations and Admin Assistant specifically with these requirements:

  • Has excellent English communication skills
  • Has at least 2+ years of customer support experience
  • Has at least 2+ years of experience as an Operations or Admin Assistant or similar role
  • Has at least 1+ years experience in the consulting industry (preferred)
  • Proficient in using social media platforms and video trimming/cutting experience
  • Has experience with calendar and email management
  • Has experience managing customer payments and solutions
  • Excellent project management skills and the ability to multitask
  • Has experience using task management and project management tools (ClickUp, Zapier, Google Apps)
  • Professional remote working environment including computer, mobile phone, camera, microphone and stable internet connection.

Your responsibilities will include (but are not limited to):

  • Company Operations: Run the Company Operating System, including but not limited to:
    • Set up monthly self-assessments
    • Set up weekly reports every quarter
    • Create slides for the Monthly All Hands Targeted Interaction
    • Create slides for the Monthly Planning Targeted Interaction
    • Create slides for the Quarterly Planning Targeted Interaction
    • Lead all Targeted Interactions
    • Set up quarterly time studies
    • Maintain the company calendar
  • Sending template email reminders 24 hours before monthly all hands, monthly TIs, quarterly TIs, and waterfall distribution TIs (targeted interaction)
  • Enforce adherence to our waterfall and commitment cadence inside of ClickUp
  • Enforce proper utilization of the correct communication channels
  • Manage overall customer payments and chase any late/overdue payments, including emails
  • Coordinate with the Client Success team to resolve customer payment issues in line with the company's values and policies.
  • Hold team members accountable for overdue tasks/projects and follow up on insufficient updates in ClickUp.
  • Take notes of action items and translate them to ClickUp during targeted interactions
  • Admin duties: managing team calendar, leading targeted interactions (such as quarterly, monthly, weekly and daily) and sending out invites
  • Full ownership over ClickUp management and upkeep
  • Create and document new processes when given clear instructions
  • Video Trimming / Content Distribution For the Company
    • Distribute three case studies monthly to the Scale Systems YouTube, Facebook, and LinkedIn
    • Ensure CS team delivers three monthly case studies for distribution
    • Email links to YouTube videos once uploaded
    • Maintain a searchable case study/testimonial database
    • Attend monthly community training sessions and note timestamps for trimming
    • Trim and upload the monthly Skool community training video to YouTube, LinkedIn, and G Drive, adding the provided thumbnail, title, tags, and endscreen.
  • Customer Support
    • Reply to and manage support requests for low-ticket course buyers with access issues
