Join a rapidly expanding one-person enterprise specializing in expert AI speaking engagements for large enterprises. After a 5X growth last year, we are seeking an Executive Assistant / Chief of Staff to streamline operations and support business development. Key Responsibilities:
- Inquiry and Booking Management: Handle inbound inquiries, dispatch speaker kits, quote prices, follow-up, and book speaking engagements.
- Contract Administration: Adjust and execute contracts with clients, ensuring clarity and adherence to talk/program specifics.
- Financial Oversight: Issue invoices post-talks, track payments, and manage accounts receivable using QuickBooks.
- Travel Coordination: Manage all aspects of travel arrangements, both professional and personal, including domestic and international logistics.
- Contractor and Employee Management: Oversee contractors, ensuring timely delivery and payment; assist in sourcing, interviewing, and hiring new team members.
- CRM and Data Management: Research and implement a CRM system; oversee data migration and utilization for lead outreach and follow-up.
- Marketing and Communication: Set up and manage an email newsletter; curate and distribute AI-related content; encourage audience engagement and speaking engagement bookings.
- Social Media Management: Manage social media platforms, including content creation from talk recordings and regular posting with insightful commentary.
- Content Development: Establish a system to stay updated with AI news; assist in creating and disseminating new content for audiences.
Long-term Project Involvement:
- System Optimization: Develop efficient invoicing and tracking systems.
- Platform Research and Implementation: Aid in the selection and integration of a suitable CRM platform.
- Newsletter and Outreach Initiatives: Spearhead the creation and distribution of an email newsletter. Help build and develop a community of practice.
- Social Media Strategy: Enhance online presence through strategic social media management and content dissemination.
- Content Strategy Development: Collaborate in crafting and updating AI-focused content for various platforms.
