Operations Project Manager

Reports to Business Transformation Director/ Senior Operations Manager

Job Summary

As part of the OPEN Health Operations team, the Operations Project Manager will support our operations and business transformation programme by identifying and acting on opportunities for improvement; developing and implementing new systems, processes and technologies; and overseeing, planning, managing and executing internal project transformation programmes in order to improve our overall ways of working, drive excellence and alignment, and improve efficiency and profitability. They also support day-to-day business requirements and work alongside the wider team to facilitate the smooth running of operations for our client delivery teams.

Essential Duties & Responsibilities

  • Working with the OPEN Health Operations leadership team to identify opportunity for change, improvement and best practice
  • Identifying and overseeing assigned initiatives, processes, policies and systems in order to improve our overall ways of working, drive excellence and alignment and improve efficiency and profitability, including developing business cases and project plans, working with team leads to obtain senior leadership approval, providing ongoing status reports, confident decision making and problem resolution and drive projects forward
  • Developing and overseeing the administration and support systems that facilitate effective running across the business, including being a central point of contact for any queries, concerns, or feedback
  • Leading the development, roll-out and training of new systems and processes across OPEN Health
  • Managing stakeholders across the business and facilitating alignment and seamless collaboration between other central functions and client/delivery teams
  • Ensuring accurate and efficient data and information management on assigned projects, and developing and implementing data and information management solutions in line with current technologies and best practice
  • Maintaining in-depth knowledge of OPEN Health systems, processes, teams and business objectives, and identifying emerging external and internal trends in tools and approaches in order to better align technical and process solutions with OPEN Health business needs
  • Working with the other Central functions to effectively complete the operational onboarding and integration of new acquisitions
  • Assisting the wider Operations Team in delivering other initiatives and business support, where needed
  • Managing Operations Executives as needed, ensuring that they effectively fulfil their objectives, have clear and motivating development plans in place, and any performance issues are rapidly addressed

Experience, Skills, and Qualifications

  • Healthcare advertising or medical communications agency experience will be a big advantage
  • Previous experience as a Project Coordinator or Project Executive
  • Strong project management skills, preferably agile projects and/or IT projects
  • Ability to confidently and effectively manage stakeholders
  • Confidence and proactivity, with a desire to exceed expectations
  • Ability to multitask and prioritise; excellent time management skills
  • Excellent written and verbal communication and interpersonal skills
  • A good listener and able to appreciate multiple viewpoints and perspectives
  • Understanding a complex situation and recommending potential ways forward
  • Ability to work independently and as part of a team, and to oversee others' work; ideally, people management experience
  • Ability to understand a complex situation and provide confident recommendations for a positive outcome
  • Good IT skills, including high level of competence in using Microsoft 365 and SharePoint as well as Word, PowerPoint, Excel and Outlook

Travel Requirements

Occasional travel to other OPEN Health office locations
