Project Manager, Publications (including DataVision Management)

Job Summary

Our Project Managers are directly accountable for the successful oversight of projects from inception to completion with a primary focus on meeting and exceeding the goals of the account by providing accurate and proactive support for all project-related activities. They will also assist in the development, execution, and delivery of publication plans. Additionally, the Project Manager will have a great understanding of Datavision and serve as an internal auditor for assigned clients.

Project Managers value collaboration and enjoy working closely with all members of the team and effortlessly build relationships with clients by valuing the importance of creating a good rapport.

Essential Duties & Responsibilities

Project Management:

  • Trafficking all projects between account, medical, editorial, and support services
  • Facilitating material to vendors via email, FedEx, ShareFile, Webcargo, etc.
  • Executing/creating publication plan slides and associated tactics
  • Preparing submissions
  • Developing timelines

Compliance, Documentation, and Operational Expectations:

  • Complying with established OPEN Health and client standards, policies, and procedures
  • Developing deep understanding of Datavision and associated client SOPs and best practices
  • Coordinating copywrite permission requests
  • Managing project files and folder maintenance with an emphasis on version control
  • Maintaining consistent attendance and coordinate coverage when out of office
  • Ensuring professional, timely responses to all internal and external communications

Team Management:

  • Preparing and submitting all onboarding/offboarding requests for assigned teams to clients via client system
  • Serving as the internal Datavision auditor for assigned teams ensuring records are accurate and compliant upon completion
  • Providing training to team on client’s Datavision SOP to ensure accurate record completion
  • Preparing writer packages (i.e. references, final outline, etc.)
  • Preparing and completing billing code request forms (BCRFs)
  • Assigning and closing project numbers, running hours reports, communicating information to team, monitoring projects to ensure all team members are assigning time correctly
  • Accurately populating and maintaining publication tracking system (data entry, Datavision, etc.)
  • Gathering information, maintaining, and updating status reports based on internal and client status meetings
  • Coordinating reference requests
  • Requesting publication templates (i.e. editorial)
  • Leading internal status meetings resulting in establishing medical and editorial priorities
  • Setting up conference calls and virtual Teams meetings
  • Creating and maintaining client and author contact databases (i.e. title, email, phone, etc.)
  • Serving as client and author point of contact
  • Exhibiting ability to transfer skills learned to new accounts/responsibilities
  • Assisting with reconciliation of expenses and receipts as needed
  • Developing publication and congress maps
  • Developing awareness/knowledge of clients disease area and product(s)
  • Developing knowledge of clients main congresses and journals for disease area
  • Participating in internal skills development courses
  • Mentoring and coaching Project Coordinators, as appropriate

Research Support

  • Developing familiarity with Journal Selector and Conference Authority
  • Researching relevant journal and congress databases to update grids used by the internal and client teams for submission guidelines, deadlines, and notification dates
  • Conducting research on potential authors (i.e. criteria for authorship)
  • Accessing journal “Instructions for Authors” and communicating back to account lead
  • Preparing “Hot Sheets” for congresses

Account Awareness

  • Exhibiting the ability to take on additional tasks as needed while maintaining consistent performance
  • Demonstrating increased awareness of publication concepts, work products, and standard timelines
  • Demonstrating fundamental understanding of different publication tactics (i.e. abstract, poster, manuscript)
  • Demonstrating early ability to apply understanding of when certain tactical recommendations are appropriate

Experience, Skills, and Qualifications

  • Bachelor’s degree in business, marketing, communications, biology, life sciences, or related field
  • 3+ years of experience working at a medical communications agency or similar
  • Interest in project management, general business, pharmaceutical, medical communications
  • Exceptional oral and written communication skills
  • Ability to manage multiple and sometimes competing challenges, issues, and priorities with the ability to delegate and set clear expectations
  • Ability to work both independently and in a team structure
  • Aptitude for the English language and excellent written and verbal communication skills
  • Enthusiastic team player with self-motivated attitude and demeanor
  • Ability to work within promised timelines and budget; reporting potential conflicts with either
  • Superior communication skills (both written and verbal) and a proven ability to communicate complex scientific concepts to a variety of audiences including clients, policymakers and the external scientific community
  • Proficient in MS365 including Word, Excel, PowerPoint, Outlook and Teams
