As the Personal Assistant, you will be an integral part of the executive team, providing comprehensive administrative and strategic support to the Board Members. This role demands high discretion, organizational skills, and the ability to work well under pressure. The ideal candidate will possess a proactive mindset and be capable of managing a wide range of tasks to support the Board Members' daily activities and the agency’s strategic objectives.
Key Responsibilities:
- Manage and organize the Board Member's calendar, including scheduling appointments, meetings, and travel arrangements.
- Provide administrative support, including managing emails, calls, and correspondence and ensuring efficient and effective communication.
- Prepare meeting agendas, take minutes during meetings, and follow up on action items.
- Assist in preparing reports, presentations, and data analysis for internal and external stakeholders.
- Coordinate with other departments to ensure the smooth execution of business strategies and projects.
- Manage confidential documents and information with discretion.
- Serve as the first point of contact for the Board Members, liaising with clients, partners, and employees.
- Assist in event planning, including corporate functions and industry events.
- Support the Board Members with personal tasks to ensure they can focus on strategic business activities.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role in a corporate setting, preferably in marketing or a related industry.
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and familiarity with project management tools.
- Ability to handle confidential information with integrity and discretion.
- Strong problem-solving skills and the ability to work under pressure.
- Adaptability and flexibility to handle changing priorities and tasks.
