Job Description

As a Part-time Personal Assistant, you’ll play a crucial role in supporting the operations of this dynamic dark sky tourism company. Your diverse responsibilities will range from managing executive schedules to coordinating travel arrangements for stargazing expeditions. You’ll also be involved in event planning for astronomy-related conferences and maintaining the company’s online presence. This position offers a unique blend of administrative support and industry-specific tasks, providing an opportunity to immerse yourself in the fascinating world of astronomical tourism while honing your organizational and multitasking skills.

Responsibilities

  • Efficiently manage and maintain the executive’s calendar, ensuring smooth scheduling of meetings and appointments
  • Create and edit various documents, including reports, presentations, and correspondence related to dark sky tourism initiatives
  • Book and coordinate travel arrangements for both company executives and stargazing tour groups
  • Liaise with conference delegates and speakers for astronomy-related events, ensuring clear communication and smooth event execution
  • Arrange and coordinate with third-party suppliers, such as observatories, astronomers, and local guides
  • Perform regular website updates, keeping content fresh and engaging for potential dark sky tourists
  • Assist in general administrative tasks to support the company’s day-to-day operations


Requirements

  • Proficiency in office software suites (e.g., Microsoft Office, Google Workspace) for efficient document management and communication
  • Exceptional organizational skills with the ability to juggle multiple tasks and prioritize effectively in a fast-paced environment
  • Previous experience in travel arrangements and/or event coordination, preferably in the tourism or hospitality sector
  • Basic website management skills to keep online content up-to-date and appealing
  • Strong written and verbal communication skills for effective correspondence with clients, partners, and team members
  • Creative problem-solving abilities to handle unexpected issues that may arise in travel and event planning
  • Adaptability and eagerness to learn about dark sky tourism and astronomical events
