Job Description

Zipdev is looking for a project coordinator/administrator to support our client in the construction industry. This role includes logistics and finance tasks.

Logistics Management Responsibilities

Develop/maintain outside vendor relationships including EPS and Steel Fabricators and Freight Brokers

Main point of contact internally and externally for delivery schedule for all company projects. Keep delivery calendar updated as well as any/all other CRM software related to scheduling.

Prior to delivery date, know exactly what’s on every truck delivering every day

Manage EPS delivery

  • Coordinate deliveries with manufacturer
  • Follow up until received confirmed PO from fabricator.
  • Work with PC/DCS and coordinate EPS phasing and delivery with site contact(s) and manufacturer
  • Obtain and audit BOL/QCL. File signed paperwork

Manage steel delivery

  • Obtain freight quote & select appropriate carrier for budgeting AND booking.
  • Work with PC to contract and Coordinate freight pick-up from manufacturer/fabricator with client being ready for the deliveries.
  • Obtain and audit BOL/QCL. File signed paperwork

All Deliveries

  • Resolve material shortage challenges for steel and EPS material with PC and DCS
  • Work with the client/PC/DTS/DCS to obtain additional material as needed once approved by the DCS.

Freight Quote Requests

  • Responsible for working with sales managers to request freight quotes from freight brokers and log the pricing for them

Manufacturing Partner Responsibilities

Work with the President & DCS to Identify New Manufacturing Partners

Track the progress and quality of work being performed by foam and steel and freight providers and maintain good relationships with all

  • This person will be the primary contact for our EPS and Steel fabricators. They are the primary liaison between SSE and the fabrication teams.
  • Keeping Zohosheet up to date for both the EPS and Steel Fabricator tabs and aware of “Who is making what” each day.
  • Update/maintain fabricator error log

Financial and Accounting Responsibilities

  • Handle Insurance updates for clients
  • Monitor vendor’s insurance expiration date to obtain updated COI for our files
  • Complete new vendor credit applications and other administrative assistance
  • Monthly Preliminary notice filings
  • Assisting the Director of Accounting with AR Collections bi-weekly
  • Provide support with Job set up and invoicing deposit to get job started
  • Support Accounting with other tasks as needed

Requirements

  • At least 2 years coordinating/managing logistics in construction projects
  • 3+ years of experience as a project administrator or logistics coordinator.
  • Organization skills
  • Tech-Savvy
  • At least 1 year of finance, accounting or related experience.
  • Available to work from 7 AM to 3 PM PST.
  • CRM experience
  • Excellent English communication skills
  • Bachelor Degree in Business Administration or related is preferred
  • Currently living in Latin America
