The Role:

We are seeking a detail-oriented and strategic Proposal Specialist to join our team. The ideal candidate will manage the end-to-end process of creating and submitting high-quality, customized proposals that align with the company's objectives and address client needs. This role requires excellent project management, writing, and collaboration skills to produce winning responses that differentiate the company in a competitive marketplace.

The Responsibilities:

  • Improve the efficiency of proposal development for RFP, RFQ, and RFI responses by identifying innovative strategies and process enhancements.
  • Customize and refine existing proposal content to meet specific RFP requirements while maintaining consistency with company messaging.
  • Draft, edit, and format clear, persuasive, and tailored proposal responses, creating new content as needed.
  • Maintain and organize a repository of reusable templates, materials, and SME content for future use.
  • Collaborate with cross-functional teams (e.g., sales, product, legal, and technical experts) to ensure proposals meet technical and compliance standards.
  • Fact-check and analyze data for proposal accuracy and relevance.
  • Participate in RFP kick-off calls and teleconferences to align on requirements and strategies.
  • Ensure timely submission of proposals that meet formatting and delivery specifications.
  • Manage and update RFP response software and tools as required, supporting data accuracy and accessibility.
  • Evaluate bid requests and specifications to determine feasibility and alignment with departmental procedures.
  • Prioritize tasks and deliverables to meet workload demands efficiently.
  • Provide editorial support for research, writing, revisions, and updates to past performance sections.
  • Support Stage 2 bid development, security questionnaires, and other business development activities.
  • Facilitate continuous improvement in the business and proposal development processes.
  • Manage multiple proposals simultaneously using consistent project management techniques.
  • Adhere to department, team, and project-specific processes and standards.

The Desired Attributes:

  • Bachelor’s degree in business, communications, marketing, or a related field or equivalent work experience.
  • 3+ years of experience in proposal writing, business development, or a similar role.
  • Strong writing, editing, and proofreading skills with exceptional attention to detail.
  • Excellent project management skills with the ability to handle multiple deadlines simultaneously.
  • Proficiency with RFP management tools, Microsoft Office Suite, Adobe, and collaboration software (e.g., SharePoint, or similar tools).
  • Strong interpersonal and communication skills to work effectively with diverse teams and stakeholders.
  • Knowledge of the industry and ability to interpret technical information is a plus.
