Job Description:
The Intake Specialist plays a critical role at the top of the client journey, serving as the first point of contact and guiding prospective clients from initial inquiry through scheduled consultation. This role is ideal for a confident communicator who thrives in a fast-paced, performance-driven environment and takes pride in owning outcomes from start to finish. You will engage exclusively with warm leads, conduct structured intake conversations, and ensure qualified prospects are prepared and scheduled efficiently. Responsibilities include, but are not limited to:
Initiate onboarding immediately after consultation scheduling
Maintain real-time, accurate CRM records with defined next actions
Clearly communicate process, expectations, and next steps to prospective clients
Execute consistent follow-up via phone, text, and email
Conduct structured intake calls of approximately 15 minutes to assess fit and readiness
Maintain full ownership of lead progression and scheduling outcomes
Guide prospects through required pre-consultation steps and documentation
Requirements:
1 year experience as an Intake Specialist
Neutral accent with strong, confident phone presence
Sales-oriented mindset with ability to handle objections
High emotional intelligence and empathy for sensitive client situations
Strong organization and follow-up discipline
Self-directed with strong ownership and accountability
Detail-oriented with zero-error mindset in data and scheduling
Results-driven and comfortable in metrics-based environments
Technologically proficient with CRM and productivity tools
Resilient, disciplined, and proactive
Work Schedule: Monday-Friday
Expected call volumes: 14-20 calls daily
