Executive Administrative Assistant provides high-level administrative support to executives and senior leadership. This role involves managing schedules, coordinating communications, organizing travel, and handling confidential information. The assistant will act as a liaison between executives, clients, and employees, maintaining professionalism and efficiency at all times.
Key Responsibilities:
Calendar and Schedule Management
Organize and manage executives’ calendars, scheduling meetings, appointments, and events.
Coordinate meeting logistics, including preparing agendas, booking conference rooms, and arranging virtual meetings.
Communication and Correspondence
Handle all executive correspondence, including emails, phone calls, and messages.
Draft, proofread, and edit emails, reports, presentations, and other documents.
Act as a point of contact between the executives and internal/external clients.
Document and Data Management
Maintain organized filing systems, both physical and digital.
Manage sensitive and confidential information with discretion and integrity.
Prepare and review expense reports, ensuring accuracy and adherence to company policies.
Meeting Coordination and Support
Organize and set up meetings, taking minutes when necessary.
Follow up on action items from meetings and ensure timely completion.
Travel Arrangements
Coordinate travel arrangements, including booking flights, accommodations, and transportation.
Create detailed itineraries and provide executives with necessary travel documents.
