Job Description

The Event Coordinator plays a pivotal role in planning, organizing, and executing a diverse range of events, including our annual customer summit, meetings, conferences, webinars, and both virtual and in-person gatherings. Collaborating closely with marketing and sales leadership, this position is responsible for delivering seamless event logistics, establishing and achieving event objectives, and measuring producing targeted content, campaigns, and promotions. The Event Coordinator ensures smooth coordination of all logistics before, during, and after each event.

  • Define event requirements, objectives, promotional activities and budget, aligned with marketing, sales and customer strategy. Collaborate and communicate cross-departmentally for effective coordination.
  • Generate and maintain an event playbook, including event requirements, process, and an event calendar.
  • Develop and implement comprehensive marketing plans to promote events and webinars, leveraging channels such as email campaigns, social media, websites, and advertising platforms to drive attendance.
  • Collaborate with the internal marketing team to create engaging event collateral, including promotional materials, advertisements, and digital content.
  • Coordinate logistics for both virtual and in-person events, including functions like webinar setup, technology requirements, attendee registration, shipping materials, booth development, event-specific supplies, post-event communications and setup/teardown logistics.
  • Organize travel accommodations for employees attending events, provide detailed travel itineraries and logistical information.
  • Collect feedback from attendees and internal employees to assess the event effectiveness and the overall attendee experience.
  • Analyze performance of marketing efforts, monitoring metrics like registrations, campaign performance and attendance.
  • Analyze marketing and sales performance ROI and event outcomes, identify event successes, sales outcomes and areas for improvement.
  • Develop post-event reports/debriefs and case studies, highlighting key insights and lessons learned from both in-person and virtual events, and sharing recommendations for optimizing future event marketing initiatives.
  • Maintain ongoing communication with event contacts, providing post-event support and follow-up to nurture relationships and facilitate future collaboration opportunities.

Requirements

  • Minimum 5-years experience in an events coordination or similar role
  • Bachelor's degree in marketing, hospitality management, communications, or a related field (preferred).
  • Strong organizational and time management skills.
  • Excellent communication skills and attention to detail.
  • Experience in travel coordination, including booking flights, lodging accommodations, and creating detailed itineraries.
  • Ability to multitask effectively, managing multiple details and priorities simultaneously.
  • Strong problem-solving and decision-making skills, with the ability to anticipate and address issues before they arise.
  • Flexibility and adaptability to changing requirements or circumstances, such as last-minute changes.
  • Ability to travel to some events.
