This position is for an Executive Administrative Coordinator who is under minimal supervision supporting Executive and Vice President level personnel at Collins Aerospace. This role coordinates expense reporting, travel plans, and event planning. The individual will solve complex problems and assists in recommending, developing, and implementing new processes and analysis. The role will assist in leading lower-level staff in gathering, verifying, and processing documentation and relies on moderate to extensive experience and judgment to plan and accomplish assigned tasks. This role will also interface with executives and will be needed to provide a level of customer support for them.

What You Will Do:

  • Works under minimal supervision to perform clerical activities including but not limited to expense reporting in SAP, travel bookings, and general record keeping.

  • Schedules travel both domestically and internationally for the VP including flights, hotels, and car arrangements.

  • Coordinates calendar meetings in Outlook for VP and other executive level personnel.

  • Coordinates larger events for customers, team building, conferences and more.

  • Responds to complex email and phone inquiries.

  • Leads lower-level staff in gathering, verifying and processing documentation.

  • Assists in recommending, developing, and implementing new processes and analysis.

  • Acts as office manager with oversight of records management.

  • Performs data entry and other normal office functions such as setting up and maintaining files, interviewing callers, and making proper referrals, arranging meetings and conferences and receiving, referring or answering mail.

  • Reviews drafts and finished documents for appropriate grammatical usage and answers questions relating to office operations and established policies and procedures.

  • May provide executive assistant services as a direct assistant to Senior Executives and General Managers.

  • This includes working independently on special assignments, managing the Executive's schedule, processing and handling of confidential documents and other administrative duties.

Qualifications You Must Have:

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience

  • U.S. Person (U.S. citizen, permanent resident, refugee or asylee) or eligible to obtain necessary export authorizations required

  • MS Office Suite experience

Qualifications We Prefer:

  • C-Suite experience

  • SAP expense reporting experience or related

  • 5+ experience managing calendars, expenses, and domestic/ international travel as an executive assistant.

  • PowerPoint & Excel experience

  • Experience as a virtual assistant/ working in a remote environment.

  • Project management experience.

The salary range for this role is 44,000 USD - 102,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.Hired applicants may be eligible for benefits, including but not limited to, medical, dental, vision, life insurance, short-term disability, long-term disability, 401(k) match, flexible spending accounts, flexible work schedules, employee assistance program, Employee Scholar Program, parental leave, paid time off, and holidays.
