About the Role
We are hiring an Executive Assistant to optimize our Co-founder’s productivity, as Rula continues to expand its commercial organization. A typical day may involve delivering a keynote talk, attending three internal meetings, conducting two key external calls with C-level executives from Fortune 10 companies, managing a flight home, scheduling five new meetings, handling approximately 200 emails, and addressing an urgent internal fundraising matter. This role is essential in supporting these tasks for our Co-founder by facilitating strategic thinking, prioritizing critical tasks, and managing both internal and external priorities effectively. You’ll be part of a dynamic team supporting over 100 people as we expand rapidly.
You will also provide support to both the CEO and Co-founder for a transitional period starting in 2025, ensuring seamless operations during this time. This isn’t just your standard administrative role; you'll be a trusted partner in driving our growth. We’re looking for someone who is organized, communicates clearly, thinks critically, pays attention to details, and, most importantly, gets things done. Required Qualifications
5+ years of experience as an Executive Assistant to a CRO or C-level exec in a public company or large private company (100+ employees)
Demonstrated experience supporting multiple executives when required
Experience working remotely in an asynchronous culture
Proven ability to manage calendars effectively, including preparation, while exercising strong independent judgment and resourcefulness
Skilled in heavy travel coordination, including last-minute flight changes, expense tracking, and designing adaptable day-by-day agendas
Experience managing personal appointments (approximately 15-20% of responsibilities)
Proficient communication skills, with experience communicating effectively with partners, executives, and investors, both written and oral
Ability to prioritize a high volume of tasks, responding with a sense of urgency to inbound and outbound requests
Ability to adapt working hours to align with the co-founder’s schedule
Preferred Qualifications

Based in EST or CST time zones
Familiarity with tools such as Salesforce, Looker, and automation tools (Gemini, Superhuman, etc.)
Experience coordinating events including internal team dinners, offsites, and monthly business reviews, as well as external meals and in-person meetings/preparation
Proficiency in Google Suite
Experience supporting a founder, with knowledge of coordinating board meetings, managing investor relations, and working with directors
