Job Description
We’re seeking a highly organized and tech-savvy Executive Assistant to support our busy team of PR professionals. In this role, you’ll be the backbone of our operations, ensuring smooth day-to-day functioning and freeing up valuable time for our executives to focus on core business activities. Responsibilities
- Masterfully manage complex calendars and schedule high-priority appointments for executives
- Act as the primary point of contact for internal and external communications, handling email correspondence and Slack messages with professionalism and efficiency
- Coordinate travel arrangements for team members, ensuring smooth logistics and cost-effectiveness
- Take charge of expense management, meticulously collating receipts and liaising with accounting
- Craft visually appealing reports and presentations using Canva, elevating our client deliverables
- Maintain impeccable data integrity by inputting information into activity trackers and organizing digital filing systems
- Apply your keen eye for detail to proofread and edit social media content plans, ensuring top-notch quality
- Implement innovative productivity and efficiency strategies to optimize team workflow
- Assist in various administrative tasks, adapting quickly to the evolving needs of a fast-paced PR environment
Requirements
- 4+ years of proven experience as an Executive Assistant or in a similar role within a fast-paced industry
- Expert-level proficiency in G Suite applications (Google Sheets, Google Docs, Gmail)
- Familiar with Slack for seamless internal communications
- Creative flair and practical knowledge of Canva for eye-catching document creation and editing
- Exceptional verbal and written communication skills in English, with the ability to adapt tone for various stakeholders
- Natural ability to thrive under pressure, multitask effectively, and respond swiftly to urgent requests
- Strong project management skills with a track record of successful report delivery
- In-depth understanding of the social media landscape and familiarity with PR terminology
- Superb time management skills with a talent for prioritizing tasks efficiently
- Ability to maintain strict confidentiality when handling sensitive client information
- Proactive mindset with a passion for continually improving processes and productivity
