Job Description

The Payroll Agent is responsible for administering payroll functions, including calculating wages, benefits, deductions, and ensuring compliance with company policies and government regulations. This role requires attention to detail, excellent organizational skills, and the ability to manage confidential information.

Key Responsibilities:

  1. Payroll Processing:

    • Process payroll for all employees (salaried and hourly).

    • Ensure all payroll transactions, such as bonuses, commissions, and overtime, are correctly calculated and applied.

    • Review and verify timesheets, ensuring accuracy of hours worked and leave balances.

  2. Data Entry and Maintenance:

    • Maintain accurate records of employee compensation, deductions, and benefits.

    • Update employee payroll information, including tax status, benefits, and direct deposit details.

  3. Tax and Compliance:

    • Ensure compliance with federal, state, and local payroll tax regulations.

    • Prepare and submit payroll tax filings, including W-2s, 1099s, and quarterly tax reports.

    • Ensure compliance with labor laws and company policies regarding overtime, paid time off, and other compensation-related matters.

  4. Payroll Reporting:

    • Generate and review payroll reports for management, ensuring accuracy and completeness.

    • Track and report on payroll-related costs, such as labor expenses and employee deductions.

  5. Employee Inquiries:

    • Respond to employee inquiries regarding payroll issues, deductions, and benefits.

    • Assist employees with setting up direct deposit and resolving payroll discrepancies.

  6. Confidentiality:

    • Maintain confidentiality of payroll information and employee records.

    • Ensure sensitive financial information is handled securely and in accordance with privacy regulations.

  7. Payroll Audits:

    • Assist with payroll audits and resolve any discrepancies or issues identified during audits.

    • Perform regular reconciliation of payroll-related accounts.

  8. Continuous Improvement:

    • Stay up-to-date on payroll best practices, tax laws, and regulatory changes.

    • Suggest improvements to payroll processes to enhance efficiency and accuracy.

Qualifications:

  • High school diploma or equivalent required; associate’s degree in accounting, finance, or a related field preferred.

  • Proven experience in payroll processing or related administrative roles.

  • Strong knowledge of payroll software (e.g., ADP, QuickBooks, Paychex) and Microsoft Excel.

  • Familiarity with federal and state tax regulations and labor laws.

  • Excellent organizational skills and attention to detail.

  • Strong communication skills, both written and verbal.

  • Ability to maintain confidentiality and handle sensitive information.
