Job Description

Payroll Specialist – The Payroll Specialist will assist in the various calculations used to process payroll, ensuring accuracy, timeliness, and in compliance with STR’s policies, as well as various federal and state laws. This role is part-time and will require about 30 hours per week.

Duties & Responsibilities:

Payroll Administration:

  • Assists with timely and efficient processing of on-cycle, off-cycle, and bonus payrolls with guidance.
  • Ensures compliance and maintains current knowledge of applicable federal and state employment law regulations.
  • Respond to various employee inquiries regarding payroll, timesheets, updating direct deposits, W2’s, etc.
  • Calculates total wage earnings according to hours worked incorporating leaves and overtime.
  • Processes & calculates withholding payroll taxes, deductions, and various payments with guidance.
  • Updates employees pay and tax profiles as needed.
  • Investigate and resolve any discrepancies with timesheets and payroll related items.
  • Set up and maintain garnishment payments in accordance with applicable laws and regulations, providing required information to collecting agencies.
  • Conducts new hire orientation & training for employees & managers on completion of timecards, including maintaining user procedures, guidelines, and documentation.
  • Partner & liaise with HR: ensure all new hire paperwork is completed; employee changes are completed; coordinate spot bonus payments.
  • Liaise with HR Benefits to coordinate accurate pay for employees on leaves of absence including ensuring third-party payments are processed correctly, coordinating use of accrued PTO with employee.
  • Assists Senior Payroll Specialist & Payroll Manager with development, implementation and maintenance of payroll procedures and processes.
  • Assists Senior Payroll Specialist & Payroll Manager to ensure consistent payroll and payroll tax system configuration for federal, state and local law and regulation compliance.
  • Assist Senior Payroll Specialist & Payroll Manager to ensure compliance with regulatory quarterly, annual reporting, and year-end tax filings including W2’s.

Timesheets Administration:

  • Performs real-time auditing of timesheets on a weekly basis to ensure timesheets are completed on time each pay period
  • Assists employees with basic timesheet questions
  • Remind & follow-up with employees on missing timesheets or missing hours
  • Close timesheets and import timesheets with guidance
  • Completes backend processing of timecard corrections
  • Controls timesheet periods and imports timesheet data from T&E to Costpoint for labor posting.
  • Monitor & consolidate timesheet information; audit & compare timesheets to payroll data to ensure accuracy.
  • Unlock Costpoint users from service desk emails.
  • Set up new hire profiles for timesheets & setup of backup managers to profiles.
  • Updates EE Vendor direct deposit changes in Costpoint.
  • Backup support in maintaining leave administration in Costpoint: various leave banks: including calculating, prorating, posting, and auditing leave banks.

Qualifications:

  • 2-4 years experience with multi-state payroll administration
  • Knowledge and experience in ADP payroll systems (ideally using ADP Workforce Now) & Deltek Costpoint
  • Proficient with Excel (Vlookups, pivot tables, summarizing formulas, etc) (required)
  • Familiarity with general accounting principles
  • Solid knowledge of relevant legislation, policies and regulations
  • Strong written and oral communication skills
  • This position requires the ability to obtain a security clearance, for which U.S. citizenship is needed by U.S. Government.

The salary range for this role is ~$61,000 - $66,000
