The Sr. Sales Staff Administrator will report to the Chief Revenue Officer (CRO) to support our dynamic Commercial Growth Team. This role will provide comprehensive administrative support to the sales team, including documentation preparation and management, travel coordination, expense reconciliation, data management and analysis and general office support. This role requires a proactive individual who can handle multiple tasks efficiently and contribute to the overall productivity and success of the commercial growth department.

Administrative Support:

  • Provide comprehensive administrative support to the sales team, including scheduling meetings, managing calendars, and preparing documents.
  • Handle incoming communications, screen calls, and respond to inquiries promptly.
  • Maintain and update sales databases and CRM systems.
  • Maintain commercial growth organization chart.
  • Schedule recurring meetings for CRO (Team Calls, Forecast Meetings, QBRs, Win/Loss Reviews and Big Wins).
  • Coordinate team bonding events for Holiday Celebrations.
  • Recognize the team for birthdays, work anniversaries and performance monthly.
  • Order and ship new hire welcome gifts.
  • Order and ship net new prospect gifts <$100.

Document Preparation and Management:

  • Prepare, format, and edit reports, presentations, and sales materials using Excel and PowerPoint.
  • Ensure all documents are accurate, professionally formatted, and align with company standards.
  • Manage electronic and physical filing systems for easy retrieval of information.
  • Data analysis on ROI for projected outcomes of events.

Travel Coordination:

  • Arrange domestic and international travel for sales team members, including flights, accommodation, transportation, and itineraries.
  • Ensure all travel arrangements are cost-effective and align with company travel policies.

Expense Reconciliation:

  • Collect, review, and process expense reports for the sales team.
  • Reconcile expenses against receipts and company policies, ensuring accuracy and compliance.
  • Assist with budget tracking and financial reporting as needed.

Meeting and Event Coordination:

  • Ability to work cross functionally to organize and coordinate sales meetings, conferences, and events, including venue selection, catering, and logistics.
  • Prepare and distribute agendas, meeting minutes, and follow-up action items.
  • Prepare Executive team for presentations at events.
  • Help draft content for CRO presentations.

Data Management and Analysis:

  • Maintain accurate sales records and generate regular reports to track sales performance and KPIs.
  • Assist in data analysis to identify trends, opportunities, and areas for improvement.
  • Assist with Workday commercial growth goal inputs.

General Office Support:

  • Support day-to-day office operations, including ordering supplies, managing mail, and ensuring a tidy work environment.
  • Perform other administrative tasks as assigned by sales leadership.
  • New Hire training scheduling and coordination.
  • Print and ship client / prospective client requests for proposal.

Travel

Perform other duties that support the overall objective of the position.

Education Required:

  • Bachelor’s degree in Business Administration, Marketing, Communications or related field preferred.
  • Or, any combination of education and experience which would provide the required qualifications for the position.

Experience Required:

  • 5-6 years of administrative experience, including supporting executive level leadership and sales experience, preferably in healthcare, sales or corporate environment.
  • Experience with travel booking and expense reconciliation tools.
  • Data gathering/analysis for sales opportunities.

Knowledge, Skills & Abilities:

  • Knowledge of: Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
  • Skill in: Executive level support, excellent verbal written communication and interpersonal skills. Attention to detail and problem-solving skills. Strong organizational skills.
  • Ability to: Demonstrate high level of professionalism and confidentiality. Work independently and as part of a team. Build collaborative relationships and work functionally across the organization. Multitask in a fast paced-environment with meet priorities and deadlines. Exceptional adaptability in fast-paced environments. Thrives under pressure, making sound decisions.
