Working Hours: Mondays - Fridays 9:00 am - 5:00 pm PST

Job Summary:
The Executive Assistant with Operations/Management Experience will provide high-level
administrative support to our executive team while leveraging their operational and
management skills to enhance efficiency and effectiveness across the organization. This role
requires a blend of executive support capabilities, strategic thinking, and operational
expertise.

Responsibilities:
Executive Support:
Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and review correspondence, reports, and presentations, ensuring accuracy and timely delivery.
Serve as a liaison between executives and internal/external stakeholders, managing communications and prioritizing inquiries.
Operations Management:
Assist in the development and implementation of operational policies and procedures to
streamline business processes.
Oversee day-to-day operations, including office management, facilities coordination, and
vendor management.
Monitor and report on key performance metrics and operational goals, providing insights
and recommendations for improvements.
Project Coordination:
Manage and track the progress of various projects, ensuring deadlines are met and
deliverables are achieved.
Collaborate with cross-functional teams to coordinate project activities and resolve any
issues or roadblocks.
Prepare project status reports and presentations for executive review.
Event Planning:
Organize and coordinate internal and external events, including meetings, conferences, and company functions.
Handle logistics such as venue selection, catering, and guest arrangements to ensure successful event execution.
Administrative Functions:
Maintain and update confidential files and records, ensuring data integrity and compliance with company policies.
Handle expense reports, budget tracking, and procurement of office supplies.
Perform additional administrative tasks as needed to support the executive team and operational needs.
Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field preferred.
Minimum of 2 years of experience as an executive assistant, office manager, or in a similar administrative role, with a focus on operations or management.
Proven experience in managing administrative functions and operational processes.
Exceptional organizational and multitasking skills, with a strong attention to detail.
Excellent written and verbal communication skills, with the ability to interact professionally with executives, clients, and team members.
Proficiency in G-Suite Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and office productivity tools.
Ability to handle sensitive information with discretion and maintain confidentiality.
Strong problem-solving skills and the ability to work independently and as part of a team.
