Job Title: Executive Operations Assistant (Excel)

Job Summary:
We are actively seeking an experienced and detail-oriented Executive Assistant to join our team. The ideal candidate will have exceptional organizational skills and experience supporting executives, with a focus on administrative, financial, and team coordination tasks.

Job Responsibilities:
Executive Support:
Manage the travel and calendar of the CEO, coordinating arrangements for approximately one trip per month.
Handle expense reports using Concur or similar systems, matching receipts and credit card charges for monthly submissions.
Provide light email inbox management, once the working relationship is well-established.
Financial Preparation:
Maintain a daily dashboard comparing sales and order activity based on daily data dumps.
Support the preparation of monthly financial reports by maintaining records and summarizing data for accounting entries, such as commission and bonus accruals, revenue recognition tables, and capitalized expenses.
Team Support:
Provide CRM support on a monthly rotation basis, ensuring accurate data management:
Week 1: Contacts
Week 2: Customers
Week 3: Opportunities
Week 4: Activities
Assist with updating records in the financial software (e.g., customer contact information, product numbering systems) on an ad-hoc basis, once the working relationship is well-established.
Qualifications:
3-5 years of Executive Assistant experience.
Proficiency in Microsoft Office Suite, especially Excel, and familiarity with financial software.
Excellent communication and interpersonal skills.
Exceptional attention to detail and ability to manage time effectively.
Experience with CRM and ERP systems.
Strong organizational skills and the ability to handle confidential information with discretion.
Ability to work independently, manage multiple tasks, and thrive in a fast-paced environment.
Willingness to learn new skills and adapt to changing needs.
