Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant. In this role, you will be responsible for coordinating activities and administrative tasks by organizing people, files, information, and activities. This additionally includes related operations related assistance work such as research, data processing, scheduling, and other related activities.
The ideal candidate will have strong coordination skills, the ability to work in a remote environment, and a proactive approach to problem-solving.

Infrasync Technology Services is an engineering and technology professional services firm. We design, implement, and manage data systems to improve our drinking water quality and keep our rivers and oceans clean. We provide services across the United States with a focus on drinking water and wastewater municipal utilities.
Key Responsibilities:
Coordinate and manage day-to-day activities of internal teams, public utilities, and external partners to ensure projects are on track.
Develop and maintain project schedules, milestones, and deliverables, ensuring alignment with client expectations.
Facilitate regular project meetings, track progress, and follow up on action items to ensure timelines are met.
Serve as the point of contact between team members, clients, and stakeholders to ensure effective communication.
Monitor and report on project progress, potential risks, and issues, and assist in resolving any roadblocks.
Ensure all project documentation is organized, accessible, and up to date.
Assist in the preparation of project proposals, progress reports, and final deliverables.
Manage project budgets, timelines, and resources to optimize outcomes.
Ensure all work complies with relevant policies, procedures, and standards.
Support with industry related research and data processing
Track the reporting of marketing and social media metrics
Support with sales proposals and coordination
Qualifications:
Strong English native level communication skills, both written and verbal
Proven experience as an Administrative Assistant preferably in utility services, infrastructure, or a related field. You should have a background in roles involving significant administrative, organizational, or executive support duties. Examples include Administrative Assistant, Office Manager, Project Coordinator, Account Manager, or similar positions.
Excellent organizational skills with the ability to multitask and manage multiple projects simultaneously.
Proficient across MSOffice Suite (ie, Word, Excel, Outlook, Access, PowerPoint)
Proficient in project management tools and remote collaboration tools. We use a combination of teams, sharepoint, and clickup for managing projects.
Ability to work independently in a remote environment and maintain high productivity
