Job Description

The Personal Assistant (PA) will provide high-level administrative support to [insert manager's title or department]. The ideal candidate will be highly organized, detail-oriented, and capable of handling a wide variety of tasks. They will be responsible for managing schedules, assisting with personal tasks, and ensuring that operations run smoothly for the executive or team they support.

Key Responsibilities:

  1. Calendar Management:

    • Schedule and maintain appointments, meetings, and events.

    • Prioritize and organize the executive’s calendar based on urgency and importance.

    • Coordinate travel arrangements, including flights, accommodations, and transportation.

  2. Communication:

    • Act as the point of contact between the executive and internal/external stakeholders.

    • Handle phone calls, emails, and other correspondence with professionalism.

    • Prepare and edit communications, reports, presentations, and documents.

  3. Task Management:

    • Track and follow up on pending tasks and projects.

    • Assist with the preparation and organization of meetings, including agendas and notes.

    • Ensure deadlines are met for important tasks and projects.

  4. Administrative Support:

    • Prepare and maintain filing systems, both digital and paper.

    • Handle confidential information with discretion and integrity.

    • Perform basic office management duties such as ordering supplies, coordinating office events, and maintaining the workspace.

Required Skills & Qualifications:

  • Proven experience as a Personal Assistant or in a similar administrative role.

  • Strong organizational and multitasking skills.

  • Excellent communication skills (both written and verbal).

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Ability to work independently with minimal supervision.

  • High level of discretion and confidentiality.

  • Attention to detail and problem-solving skills.

  • Time management skills and the ability to prioritize tasks effectively.
