SMB is the official training institution for Madison Ballet, the second largest dance company in Wisconsin and the Resident Ballet Company of Overture Center for the Arts. SMB offers programming to suit a range of interests, from casual dance enthusiasts to seasoned professionals.
Madison Ballet’s public performances of classical and contemporary programs include our annual production of The Nutcracker, which draws nearly 13,000 people from across south-central Wisconsin each year. Fueled by a passion for our craft, we create tailored programming that engages with topics like international culture, social-emotional learning, problem-solving, and more. Job Title: Front Desk Associate
Location: Madison Ballet, 6734 Odana Rd, Madison, WI
Employment Type: Part-Time, Weekday evenings and Saturday mornings Reports To: School Principal
Rate: $12 - 15/hour, based on experience
Job Summary:
Join our vibrant ballet community as a Front Desk Associate, serving as the first point of contact for students, parents, and visitors. This multifaceted role combines administrative duties, customer service, and operational support to ensure the smooth and welcoming functioning of our ballet school and company. If you are organized, personable, and passionate about the arts, we’d love to hear from you!
Key Responsibilities:
Customer Service & Communication
- Greet and bid farewell to students, parents, company dancers, and visitors with warmth and professionalism.
- Handle parent communications regarding enrollment, withdrawals, absences, tuition, class levels, dress code, available programs, and more.
- Assist prospective students with tours and trial classes, addressing their questions and concerns.
- Manage student relationships by checking in on their well-being, answering questions, and providing help as needed.
- Respond to emails and voicemails promptly and professionally.
Administrative Support
- Track attendance and maintain accurate records.
- Manage lost and found items.
- Handle inventory tracking for office and studio supplies.
- Assist with reports, student management, and communications.
- Print materials as needed for classes, performances, and marketing.
- Oversee website management, including page creation, editing, the online store, and reporting on sales and donations.
- Create assets for social media posts, in-studio flyers, outreach materials, seasonal campaigns, coloring sheets, and more.
- Coordinate fun activities and events at the front desk for the SMB student body.
Facility Maintenance & Operations
- maintain an organized and professional environment.
- Execute routine cleaning and maintenance duties in communal areas, replenish
materials and supplies as required
- Conduct general maintenance tasks such as overseeing kitchen and fridge cleanup,
reporting ceiling leaks, and damages to the Marley floor.
- Open and close the studio, ensuring all security protocols are followed.
Event & Program Support
- Assist with the Nutcracker merchandise shop, including pricing and inventory.
- Sell studio merchandise to students and visitors.
- Provide administrative support for annual Nutcracker auditions.
- Manage the brochure/info desk, providing information and materials to young
dancers and their families.
- Aid in performance ticketing and load-in/load-out for performances as needed.

Qualifications:
Qualifications
Education: High school diploma or equivalent; additional education in administration or customer service is a plus.
Experience: Previous experience in a front desk, administrative, or customer service role, preferably in an arts or educational environment. Previous dance experience is a plus.Skills:
- Excellent communication and interpersonal skills are essential to interacting effectively with students, families, staff, and visitors along with providing an enjoyable and exceptional experience while customers are in our studios.
- The ability to prioritize responsibilities, manage your time effectively, collaborate, and ensure attention to detail are essential to being successful in a dynamic environment.
- Problem-solving and thinking on your feet are essential to handling inquiries and resolving issues promptly and effectively.
