Job Title: Executive Assistant
Hours: Part-time, 20 hours per week, flexible during client business hours
Job Description:
We are seeking a highly organized and detail-oriented Executive Assistant to join our team! You will be essential in ensuring our operations run smoothly, maintaining audit readiness, managing data effectively, and helping implement client projects.
Key Responsibilities:
Audit Preparation:
Organize and maintain files in Google Drive to ensure audit readiness.
Regularly sort and update files across multiple companies for compliance and easy access.
Data Management:
Split and segment data from spreadsheets into Mailchimp for targeted marketing campaigns.
Scrape data from CRM (MYP) and accurately tag it in Mailchimp for personalized communications.
Client Vision Implementation:
Collaborate with clients to understand their ideas and visionary projects.
Help manage and implement these ideas, including creating and managing Facebook events, designing templates, etc.
Provide research support on tech packs, graphic design, and project management tools.
Desired Skills and Experience:
Technical Proficiency:
High attention to detail.
Experience with Asana, MYP (CRM), Mailchimp, and Meta (Facebook).
Proficient in using WhatsApp and Gmail for communication.
Experience with Xero is a plus.
Project Management:
Ability to research and implement tech solutions and graphic design projects.
Strong organizational skills.
Ability to manage multiple projects simultaneously.
Additional Experience:
Experience in the NDIS sector is highly desirable.
