Job Summary:
We are seeking an experienced and detail-oriented Executive Assistant (EA) to provide high-level administrative support to the executive leadership team. The ideal candidate will manage email correspondence, oversee the executive’s calendar and to-do lists, and ensure key business tasks are followed up and completed by the team. The EA will act as a central point for communication, driving team accountability by “Checking in, Chasing, and Closing” tasks. A strong background in organization, follow-ups, and event coordination is essential.
Key Responsibilities:
Email and Diary Management
- Organize and manage the executive’s email inbox, categorizing emails, filing correspondence, and ensuring prompt action.
- Manage the executive’s diary, scheduling appointments, meetings, and events, ensuring time is optimized.

Task and To-Do List Management
- Oversee and maintain the executive’s to-do list on Trello, ensuring tasks are assigned, tracked, and completed on time.
- Communicate with the team to delegate tasks and follow up on their progress.

Team Coordination & Meeting Management
- Coordinate and manage the weekly GMAP (team meeting), sending reminders, preparing agendas, taking minutes, and following up with the team on assigned action items.
- Follow up with the team on key tasks related to business development activities, newsletters, case studies, and file closures.
- Ensure all new enquiries are properly addressed and tracked.

Event Coordination
- Research, organize, and coordinate personal and company events, handling logistics, scheduling, and all necessary arrangements.

- Drive accountability across the team by regularly checking in, chasing progress, and closing tasks to ensure deadlines are met.
- Ensure processes are followed and report any issues or delays in task completion.

Requirements
- 2-3 years of experience in an Executive Assistant role.
- Prior experience working in a law firm is a plus.
- Demonstrated experience in organizing and coordinating company events.
- Strong organizational and multitasking skills.
- Excellent oral and written communication in English.
- Proficiency in using task management software (e.g., Trello) and MS Office (Outlook, Word, Excel).
Preferred Qualifications:
- Experience supporting senior-level executives, especially in professional services (law firms, consulting, etc.)
